Job summary

Work for America is seeking a fractional HubSpot Implementation Specialist to design and implement a sustainable CRM system for our nonprofit. The role focuses on CRM strategy, events data capture, dashboards, and secure integrations across Airtable, Zoom, and custom apps.

The consultant will translate requirements into actionable plans, build email workflows, and may contribute to fundraising operations within HubSpot.

Qualifications

  • At least 4 years of HubSpot experience with a proven track record implementing HubSpot for non-profits.
  • Experience architecting CRMs in full-time roles.
  • Experience integrating HubSpot across platforms such as Airtable, Zoom, and custom software applications, meeting strong standards of cybersecurity and data hygiene, including mapping data across platforms.
  • Ability to translate user requirements into clear implementation plans in partnership with product and program leads, and then to execute autonomously and iteratively.
  • Experience building workflows for key email communications across segments and platforms.
  • Experience building out fundraising operations in HubSpot (a bonus, but not required).

Work for America operates with a small, lean team. We are adopting HubSpot as our relationship source-of-truth to reduce manual work and fragmented tools, and to improve data quality, reporting, and communications.

Work for America is seeking proposals from qualified consultants to serve as our HubSpot Implementation Specialist. We are looking for a partner who has led and executed HubSpot implementation at a growing organization: someone who can design and implement a system simple enough for our team to run and maintain without ongoing technical support. We're looking for someone who can bring non-profit CRM best-practice expertise and strong experience with technical implementation to answer "how" when we supply the "what," "why," and "for whom."

The selected consultant will play a key role in ensuring HubSpot is set up as a clean, sustainable relationship management system, setting up Work for America's team to use it confidently once the engagement ends.

SCOPE OF WORK

General Operations and Implementation

Support Work for America’s CRM strategy and implementation efforts. Responsibilities will range from high-level guidance on design and roadmap to implementation of key components of the roadmap, with a focus on program operations. The selected consultant will be an expert in:

Operationalizing programs from recruitment through delivery within HubSpot

Building data capture for in-person and virtual events across programs

Developing tools/workflows to assess customer and program health

Building key reporting functions including dashboards for non-technical audiences, using messy or incomplete data

Translating user requirements into clear implementation plans in partnership with product and program leads

Bonus: Building out fundraising operations in HubSpot

Cross-Platform Integration & Data HygieneExpertise in growth marketing, ideally at a startup or organization where the growth marketing function was still being built

Integrate HubSpot with the other platforms Work for America relies on, while maintaining strong data hygiene and security standards. This includes:

Integrating HubSpot with Airtable, Zoom, and custom software applications

Mapping data fields and structures across platforms

Ensuring integrations are secure and stable

DESIRED QUALIFICATIONS

Work for America is seeking applicants with the following experience and capabilities:

At least 4 years of Hubspot experience with a proven track record implementing HubSpot for non-profits

Experience architecting CRMs in full-time roles

Experience integrating HubSpot across platforms such as Airtable, Zoom, and custom software applications, meeting strong standards of cybersecurity and data hygiene, including familiarity with mapping data across platforms

Ability to translate user requirements into clear implementation plans in partnership with product and program leads, and then to execute autonomously and iteratively

Experience building workflows for key email communications across segments and platforms

Experience building out fundraising operations in HubSpot (a bonus, but not required)

This is a fractional role where someone will be expected to collaborate closely with teammates across the organization. As such, we are seeking an individual contributor for this role. Solo practitioners, individuals operating through an LLC, and firms may all apply, but proposals should identify the specific person who will perform the work.

ENGAGEMENT STRUCTURE & TIMELINE

Anticipated term: 2-3 months

Anticipated hours: 5–10 hours per week, anticipating 5 hours per week with ability to scale to 10 hours per week as needed

Location: Remote within the United States

Travel: None anticipated

Reporting: The consultant will work closely with the Chief Operating Officer and a Relationship Coordinator

Final cadence, workload, and scheduling will be determined collaboratively based on calendars and consultant availability.
