Job Description

The Revenue & Grants Analyst supports the financial management, monitoring, and reporting of grant-funded programs and revenue streams within the division. This position is responsible for executing day‑to‑day financial tracking, analysis, and compliance activities under the direction of the Grants Supervisor.

This position plays a critical role in ensuring compliance with federal, state, and local requirements while providing accurate financial analysis, forecasting, and reporting. The Analyst works collaboratively with school and department staff to ensure accurate financial reporting, proper use of funds, and adherence to grant requirements while supporting the division’s broader financial and strategic goals.

Essential Functions

Grants Financial Support

  • Monitor and track all grant budgets and expenditures to ensure alignment with approved grant applications and allowable cost guidelines.
  • Assist in the preparation and maintenance of grant budgets and amendments for review by the Grants Supervisor.
  • Prepare reimbursement requests and support documentation for submission and review.
  • Assist with the development of competitive grant narratives, program designs, and performance metrics.
  • Maintain accurate grant records, including awards, budgets, expenditures, and reporting documentation.

Revenue Tracking & Financial Analysis

  • Track and reconcile all revenue streams, including federal, state, and local funding sources.
  • Assist in analyzing revenue trends and provide projections to support budget development and financial planning.
  • Assist in identifying revenue maximization opportunities and ensuring full utilization of available funds.
  • Support monthly and year‑end financial close processes related to revenue and grants.

Compliance & Reporting

  • Ensure compliance with all grant requirements and that grant expenditures are coded correctly.
  • Prepare and submit required financial reports, reimbursement requests, and grant documentation in a timely manner.
  • Assist with audit preparation by maintaining documentation and responding to auditor requests.
  • Monitor grant deadlines and reporting requirements to ensure full compliance.

Collaboration & Support

  • Serve as a financial resource to principals, program coordinators, and department leaders regarding grant usage and allowable expenditures.
  • Provide guidance on purchasing, budgeting, and financial procedures related to grant funds.
  • Collaborate with Finance, Payroll, and Accounts Payable to ensure accurate processing of grant‑related transactions.

Data & Systems Management

  • Utilize financial systems to track, monitor, and report on grant and revenue activity.
  • Maintain data integrity across systems and ensure accurate coding of expenditures and revenues.
  • Support the development of dashboards, reports, and financial tools for leadership decision‑making.

Education and Experience
  • Bachelor’s degree in public administration, education, finance, business administration, or related field.
  • Experience in an educational setting is preferred but not required.

  • Experience with financial systems (e.g., LINQ ERP, OMEGA) preferred but not required.
