As we continue to expand our physical retail presence, we are seeking a highly organized, detail-oriented, and proactive Retail Construction & Store Development Coordinator to support the successful execution of new store openings, renovations, and retail development projects.

About the Role

This position serves as a central point of coordination between internal leadership, architects, contractors, consultants, vendors, landlords, and other stakeholders to ensure projects progress efficiently, deadlines are met, and outstanding action items are resolved. The ideal candidate is highly organized, resourceful, solutions-oriented, and comfortable working in a fast-paced, growing retail environment. Success in this role requires exceptional follow-through, strong communication skills, and the ability to proactively identify issues, coordinate solutions, and keep multiple projects moving forward.

Responsibilities
Project Coordination & Schedule Management

  • Maintain comprehensive project schedules, milestone trackers, task lists, and store opening timelines.
  • Monitor project progress from pre-construction through construction completion, turnover, and store opening.
  • Coordinate meetings, document action items, and follow up with responsible parties to ensure timely completion.
  • Identify potential schedule conflicts, delays, and project risks, escalating issues to management with recommended solutions.
  • Ensure project documentation, status reports, and tracking systems remain accurate and up to date.
  • Serve as a primary coordination point between internal management, architects, general contractors, consultants, vendors, landlords, and other project stakeholders.
  • Facilitate communication and ensure all parties are aligned on project requirements, timelines, and deliverables.
  • Track outstanding requests, decisions, approvals, and action items through resolution.
  • Coordinate project meetings, site visits, inspections, and follow-up communications.
  • Proactively address coordination gaps and coordinate with stakeholders.
Permits, Approvals & Compliance Tracking
  • Monitor the status of construction permits, inspections, certificates of occupancy, and other required regulatory approvals.
  • Coordinate with architects, contractors, consultants, and landlords to track submission requirements and approval timelines.
  • Maintain organized records of permits, approvals, landlord requirements, and construction-related documentation.
  • Identify potential approval delays that could impact construction schedules or store opening dates.
  • Support management in ensuring required approvals and documentation are completed before store opening.
Budget, Bids & Financial Tracking
  • Consolidate and organize contractor bids, proposals, project estimates, and supporting documentation for management review.
  • Maintain project budget trackers, including approved budgets, committed costs, change orders, and outstanding invoices.
  • Coordinate with Finance and management to track invoice submissions, approvals, and payment status.
  • Monitor project-related expenses and flag potential budget discrepancies or unanticipated costs.
  • Maintain accurate financial documentation and support project cost reporting.
  • Ensure proposed change orders and financial commitments are properly documented and routed for management approval.
  • Coordinate with procurement teams, vendors, contractors, and internal stakeholders to track the ordering and delivery of store fixtures, equipment, furniture, signage, and construction-related materials.
  • Monitor procurement schedules to ensure required materials and equipment arrive in alignment with construction milestones.
  • Track delivery confirmations, outstanding orders, installation schedules, and vendor commitments.
  • Identify potential supply chain or delivery delays and coordinate corrective actions.
  • Support the coordination of fixture installations, equipment setup, and other store development requirements.
Construction Progress & Issue Resolution
  • Track construction progress against approved project schedules and established milestones.
  • Maintain project issue logs and follow up on open items until resolution.
  • Coordinate with contractors and consultants to monitor outstanding construction tasks, deficiencies, and punch-list items.
  • Escalate critical issues affecting project schedules, quality, budgets, or opening readiness.
  • Provide regular project status updates to management, highlighting progress, risks, delays, and required decisions.
Store Opening & Project Closeout
  • Coordinate construction completion activities and support the transition from construction to retail operations.
  • Partner with Retail Operations, IT, Visual Merchandising, Facilities, and other internal teams to ensure store opening readiness.
  • Track completion of final inspections, punch lists, installations, equipment setup, and required approvals.
  • Support the coordination of store turnover, handover documentation, and opening-related milestones.
