Job summary

Léal hospitality group in Morgan Hill, CA is hiring a Part Time Restaurant Administrative Assistant to support leadership and operations at Mohi Farm. The role requires strong organizational and communication skills and involves clerical tasks across HR, payroll, and events.

Expect to assist with payroll preparation, invoicing, Toast POS updates, event coordination, and multi-site support. Travel to other portfolio locations is occasional. Day shifts with a focus on hospitality excellence.

Qualifications

  • Previous administrative experience is preferred.
  • Will travel to other locations within the portfolio occasionally.
  • Valid California driver’s license and clean driving record.
  • Bilingual in English and Spanish is preferred.
  • Strong written and verbal communication with attention to detail.

Responsibilities

  • Provide administrative support to the VP of Hospitality, Executive Chef, Director, HR & Payroll, and President.
  • Support food and beverage operations with clerical tasks as needed.
  • Handle confidential duties with initiative and sound judgment.
  • Communicate with staff regarding issues, permits, and certificates.
  • Assist with payroll preparation and Paycom time punches.
  • Serve as backup for tip pool management and restaurant workflows.
  • Update Toast POS, menus, and user access as required.
  • Coordinate events, banquets, and outside catering communications.
  • Open restaurant operations and manage bank drops as needed.
  • Assist with inventory, culinary ordering, and training program creation.
  • Process invoices and maintain client/event calendars.
  • Respond to inquiries in a friendly, prompt, and professional manner.

The Restaurant Administrative Assistant will use their exceptional organizational sense, time management, and positive interpersonal skills to complete the duties outlined below to support the operation with all administrative tasks.

Essential Responsibilities/Duties
  • Provide all administrative and clerical support to the VP of Hospitality, Executive Chef, Director, HR & Payroll, and President as needed
  • Provide administrative and clerical support to the food and beverage operations as needed
  • Perform administrative duties and functions requiring confidentiality, initiative, and sound decision-making
  • Communicate with employees via phone, email, Slack, etc. regarding any pending employee issues, including expiring food handler and responsible beverage serving certificates, work permits, etc.
  • Assist with managing employee time punches in Paycom and assist with preparation for payroll processing
  • Act as backup for managing the tip pool spreadsheet for the restaurant
  • Assist with maintaining Toast POS – make all updates, menu changes, add/delete users
  • Assist with the workflow for banquets, transfers, special events, menus, and outside catering communication and documentation between departments to ensure efficiency
  • Assist with opening restaurant and bank drops as needed
  • Assist with culinary ordering, inventory, etc.
  • Create staff training programs, SOPs, etc.
  • Process and code invoices to be submitted to Accounting in a timely manner
  • Answer phones, take messages, and emails, and respond to customer inquiries in a friendly, upbeat, prompt, and professional manner
  • Assist with updating and maintaining events through Aisle Planner and Honey Do spreadsheet as needed
  • Assist management with keeping event calendars up to date at all times
  • Collaborate with event coordinators to schedule consultations
  • Maintain an organized log to track the status of each client file
  • Keep management apprised of all employee and/or client issues as soon as they arise
  • Complete all assigned projects on time, with clear communication regarding deadlines and workload.
  • Any other tasks or projects as requested by any member of management.
QualificationsRequired Education, Knowledge, Skills, and Competences
  • Previous administrative experience is preferred
  • Will be required to travel to other locations within the portfolio on an occasional basis, including starting your shift at different properties.
  • Possess and maintain a valid California driver's license with a safe and satisfactory driving record
  • Excellent communication skills and ability to work both independently and in collaborative/cross-functional team settings, with and without supervision
  • Bilingual in English and Spanish is preferred
  • Desire to have a direct hand in transforming and growing our brand
  • Attention to detail and a high degree of accuracy
  • Exceptional written and verbal communication skills, including positive interpersonal skills
  • Maintain a neat and well-groomed appearance, including adherence to department dress code
  • Must possess superior hospitality, organizational, and customer service skills.
  • Ability to effectively deal with internal and external customers, some of whom will require high levels of patience, tact, and diplomacy to defuse anger, collect accurate information, and resolve conflicts.
  • Ability to work cohesively with co-workers as part of a team
  • Practice safe working habits and take appropriate breaks and lunch periods in a timely manner
  • Able to work under pressure and remain calm to resolve problems using good judgment
