  • Meet with Primaries during the summer to review upcoming busy season engagements, timing, hours, complexity, and preassignment preferences.
  • Coordinate return timing with master schedule to avoid cross-service-line conflicts.
  • Communicate open capacity for summer work to department leadership.
  • Update and maintain skill matrices for preparers based on training.
  • Identify capacity constraints and propose solutions before they become problems.
  • Provide leadership with staffing, recruiting, and workload information to guide decisions.
  • Coach tax staff on scheduling systems, workflows, and processes.
  • Lead process improvement and automation projects within Resource Planning.

Harding, Shymanski & Co., P.S.C. (https://www.hsccpa.com), a leading public accounting and consulting firm, is seeking an experiencedResource Planning Supervisor to join our Evansville office.

The Resource Planning Supervisor owns the forward-looking resource plan for the Tax Department, a function that determines who is doing what, when, and at what capacity across a team of tax professionals serving clients in Indiana and Kentucky. The Resource Planning Supervisor is responsible for strategic capacity planning, annual master schedule development, preparer preassignment, multi-track demand planning, and workforce forecasting.

This is a professional Supervisor role, not a scheduling administrator. It requires the ability to think structurally about how the department deploys its people across client service levels. The Resource Planning Supervisor owns the forward-looking resource plan for the Tax Department Approximately 60% of this role is core Resource Planning; the remaining 40% is allocated to tax staff training, one-on-one preparer coaching, and operational improvement projects relating to resource management.

What You'll Do
  • Develop the master schedule for the upcoming calendar year
  • Meet with Primaries during the summer to review upcoming busy season engagements: timing, budget hours, complexity, skill level, and preassignment preferences
  • Coordinate return timing with master schedule for other Firm Departments to avoid cross-service-line resource conflicts
  • Communicate open capacity for summer work to department leadership
  • Update and maintain skill matrices for preparers on specialized return types based on completed training
  • Identify upcoming capacity constraints and recommend solutions before they become tactical problems
  • Provide department leadership with the information they need to make staffing, recruiting, and workload decisions
  • Train tax staff on scheduling systems, workflow expectations, and department processes particularly valuable when this role has a tax background that allows training to address the substance of the work, not just the mechanics
  • Provide one-on-one coaching with preparers who are navigating high-WIP periods, developing speed, or building skills frees the Resource Planning Senior Coordinator to remain in daily execution mode
  • Lead process improvement and automation projects within the Resource Planning function; contribute to department-wide initiatives as assigned
Success in this role looks like:
  • High school diploma or equivalent required
  • Bachelor's degree in business, accounting, finance, or a related field preferred
  • Minimum three (3) years of experience in scheduling, resource planning, capacity management, project management, or a comparable analytical coordination role in a professional services environment
  • Prior supervisory or team lead experience preferred
  • Experience in a public accounting firm or tax department strongly preferred
  • Strong analytical and project management skills; demonstrated ability to think structurally about workforce deployment and capacity
  • Process improvement mindset; approaches problems by evaluating the underlying system and designing durable solutions
  • Comfort with data, reporting tools, and dashboards; proficiency in Microsoft Excel required; experience with Power BI, CCH Axcess reporting, or comparable tools preferred
  • Strong interpersonal skills; credible and effective at all levels of the department including with staff, managers, VPs, and Firm leadership
  • Ability to exercise independent judgement on matters of staffing, capacity, and workflow allocation
  • Professional written and verbal communication skills
  • Background in Tax and/or Public Accounting is preferred qualification to accurately evaluate whether preparer workload estimates are realistic
Preferred Qualifications
  • Prior experience as a tax preparer or in a tax department operational role
  • Familiarity with CCH Axcess, Return Manager, and tax department scheduling workflows
  • Experience with offshore team coordination
  • Experience developing training materials or coaching staff in a professional services environment
  • Exposure to capacity planning tools, scheduling software, or practice management systems
