Job summary

Van Ausdall & Farrar in Indianapolis is seeking a Resource Center Specialist to support the printing needs of our customer sites and provide front-desk administrative services. This role floats to sites across the greater Indianapolis area and reports to the headquarters when not onsite.

You will operate printing equipment, assemble materials, and coordinate with departments to ensure timely deliveries while maintaining strong customer service standards.

Qualifications

  • High school diploma or equivalent.
  • 1–3 years’ work experience in a customer-facing role.
  • Prior administrative experience preferred.
  • Reliable transportation and a clean driving history.
  • Ability to lift up to 50 pounds.

Responsibilities

  • Keep Resource Center Manager updated on site activities affecting client relationships.
  • Organize own work with objectives and priorities to achieve results.
  • Serve all metropolitan sites from home base.
  • Proactively assist during idle time.
  • Create initial service tickets for equipment.
  • Follow dress code and attendance policies.
  • Become fully cross-trained in site processes.

Resource Center Specialist

Full Time Indianapolis, IN, US

The Resource Center Specialist is responsible for supporting all aspects of the printing process of our customer sites. This includes preparing and producing high-quality printed materials, maintaining and operating printing equipment, ensuring efficient workflow, and collaborating with various departments to meet their printing needs. This also includes general customer service and administrative duties for our customers. This position will be trained on all customer sites and will float to these sites (coverage area is greater Indianapolis and Greenwood), as needed. When not needing to float, the position will report to our headquarters at 6430 E. 75th Street, Indianapolis. Monday-Friday, hours fall between 7:30 a.m.-5:00 p.m. (dependent on coverage needs). No evenings or weekends!

What You’ll Do
  • Ensure that Resource Center Manager is kept up to date on site activities – particularly those activities that may have an impact on the overall client relationship/expectations
  • Organize his/her own work and resources systematically with a sense of objectives, practicing time management and the ability to prioritize so that efforts produce desired business results
  • Ability to serve all metropolitan sites based on home-base site
  • Being proactive in seeking out opportunities to be helpful during idle time
  • Put in initial service tickets on equipment
  • Follow dress code, attendance, and customer experience policies
  • Become fully cross-trained in all site processes across the organization
Production Center:
  • Create and assemble booklets, manuals, stapled packets, marketing materials, and other print materials
  • Conduct onsite & off-site mail runs (pick-up and delivery), which includes operating VAF company vehicles & customer vehicles (site dependent)
  • Triage issues with virtual meeting equipment
  • Refresh of meeting rooms
  • Mail- sometimes receiving pallets- different types of mail centers. Triage issues with virtual meeting equipment. Refresh the meeting rooms.
  • Trouble shoot print and copy equipment, escalating to a technician when needed
White Glove Service:
  • Being proactive in seeking out opportunities to be helpful and provide great customer service
  • Provide administrative services as outlined in the Customer Scope of Work, including (but not limited to):
  • a. Front Desk support
  • b. Answering phones and managing email
  • c. Greeting guests & customers
  • d. Handling scanning projects
  • e. Mail Services, including processing, pick-up and delivery
  • f. Using production equipment to create booklets, documents, and other services as requested
What You’ll Bring to the Role
  • A high school diploma or equivalent
  • 1-3 years’ work experience in a customer facing role
  • Prior experience working in an administrative capacity, highly desired
  • Reliable transportation
  • Motor vehicle report (MVR) with clean driving history
