DH Pace is hiring a Department Coordinator in Nashville, TN. This role coordinates field technicians, manages service tickets, assists with billing, and supports the estimating and warehouse teams to ensure on-time service delivery.

The position requires strong communication, time management and organizational skills, with a customer-focused approach in a fast-paced environment.

Qualifications

• Experience using Microsoft Office Suite.
• Experience in a dispatch or other high-volume administration field is a plus.
• Excellent communication skills and focused on customer service.
• Good time management, be organized and the ability to multi-task.
• Represent the company in a professional manner.

Responsibilities

• Schedule technicians to customer job sites and collect, finalize and submit job details for processing.
• Ensure customer COD payments are collected prior to job completion.
• Maintain technicians’ schedules, ensure tickets are properly allocated for materials, billing and closing.
• Run, review and manage department reports to ensure targets are met and customers satisfied.
• Assist with billing paperwork and meeting customer billing document requirements.
• Create and maintain service tickets to ensure service dates are met.
• Work with estimating team to provide service quotes when required.
• Assist field techs with technical troubleshooting and problem solving.
• Provide accurate work orders and picking lists to the warehouse for inventory pulling.
• Other responsibilities as assigned.

Job Responsibilities:

• Scheduling technicians to customer job sites and collecting, finalizing and submitting job details for processing
• Ensuring customer COD payments are collected prior to job completion
• Continually ensure technicians’ schedules are cleared of completed job tickets and that open job tickets are in correct technicians’ schedules for materials ordered, billing and voided tickets
• Run, review and manage department reports to ensure the department is meeting customer expectations and commitments
• Assist with billing paperwork and meeting customer billing document requirements
• Create and maintain service tickets to ensure service dates are met
• Work with estimating team to provide service quotes when required
• Assist field techs with technical/mechanical troubleshooting/problem solving
• Provide accurate work orders and picking lists to the warehouse for inventory pulling
• Other responsibilities as assigned

Job Qualifications:
