Job description

The Residency Program Coordinator ensures compliance with current guidelines of the American Medical Association (AMA), the Accreditation Council for Graduate Medical Education (ACGME), and applicable specialty boards. The coordinator coordinates day‑to‑day operations of the residency and fellowship programs for residents, fellows, and voluntary attendings, maintains rotation schedules, grand‑round appointments, and accurate records of current and past residents.

Responsibilities
  • Coordinate all aspects of the resident/fellow interview process including scheduling interview dates, corresponding with potential applicants, confirming meetings and appointments, and ensuring applicant credentials are in compliance with current guidelines.
  • Coordinate with House Staff Affairs and Human Resources to ensure completion of documents received from ERAS for appointment of house staff applicants, follow up with applicants regarding missing credentials, and monitor licensing requirements.
  • Implement required modules of the New Innovations residency management software, manage and report data, provide user training for program faculty and residents/fellows, collect demographic information, and update the AMA tracking system.
  • Coordinate Orientation Day for new house staff, including revisions to the Residency Training Program Manual, security and HR clearance, subscription forms, and society membership applications.
  • Serve as resource for all house staff personnel, notify residents/fellows of orientation, rotation schedules, vacations, conferences, approved leaves, and assist with J1/H1 visa matters for international applicants.
  • Prepare resident/fellow schedules, including didactic lecture series, grand rounds, and calendar of events, and coordinate lecture dates, topics, and audiovisual needs.
  • Provide administrative oversight for all residency and fellowship programs, handling inquiries, maintaining program files, assisting verification requests, and maintaining calendars of applicant appointments.
  • Ensure compliance with departmental policies and procedures, submit duty‑hour reports, track evaluations, and monitor compliance regarding house staff moonlighting and other outside professional activities.
  • Arrange for resident/fellow participation in program activities such as Core Curriculum, Chief Residents Retreat, research days, Morchand Center Clinical Skills Examination, and House Staff Council.
  • Prepare rank‑order list meetings for the Resident Selection Committee and submit accurate rank‑order list to the NRMP website.
  • Maintain and monitor records of resident attendance for required educational activities, maintain the residency curriculum and competency objectives, and edit the training manual.
  • Ensure current and complete data on resident procedural experience in ACGME Case Logs and the New Innovations Procedure Logger.
  • Collect summative, competency‑based evaluations and lists of rotations completed from the previous program for any resident transferring into or out of the program.
  • Develop and maintain program letters of agreement for required rotations at outside institutions.
  • Prepare for internal program reviews as directed by the GME Office.
  • Perform other related duties.
Qualifications
  • Bachelor’s degree or equivalent experience.
  • Three years of administrative experience in a medical and/or academic setting.
  • Certification as TAGME (Training Administrators of Graduate Medical Education) preferred.

Compensation
