Responsibilities

This position is responsible for performing a variety of complex, specialized function-related administrative tasks to support the Internal Medicine Residency program. This role is critical to enhancing the resident and student experience, as well as ensuring compliance by coordinating the following tasks: resident/student rotator onboarding and provisioning, contract management, monthly rotator reports, other data reporting as needed and overall medical education meeting coordination and scribe, verifications, and special event coordination. Works in partnership with all Dignity Health Arizona sites to promote education collaboration in the market.

The following is a list of duties for Chandler Regional Hospital Program Coordinator/Administrator:

  1. Review and ensure compliance and implementation of the Accreditation Council for Graduate Medical Education (ACGME) and specialty/subspecialty board policies and requirements.
  2. Assist Program Director and faculty in the development of program curriculum, including integration and evaluation of core competencies into all educational activities.
  3. Serve as liaison for residents/fellows; evaluate morale and respond to concerns.
  4. Maintain files on all residents/fellows.
  5. Serve as a member of, develop agendas, take minutes, and implement decision and actions for residency/fellowship committees (i.e. GME Committees, Program Evaluation Committees (PEC), etc.)
  6. Serve as a key member in finalizing and submitting the Annual Program Evaluation to GME office.
  7. Oversee residency/fellowship program budget.
  8. Review, update and implement program-specific policies.
  9. Compile data and prepare/submit reports for Program Director, GME office, accrediting bodies, and other organizations to include, but not limited to:
    1. Annual Program Evaluation,
    2. CCC documents for evaluations,
    3. Semi-Annual Evaluations for PD and resident,
    4. Milestones to ACGME bi-annually,
    5. Distribution of in-service training results.
  10. Create, distribute, track and file evaluations.
  11. Track and monitor resident/fellow case logs and alert Program Director and Service of deficiencies.
  12. Track and monitor resident/fellow conference attendance.
  13. Track and monitor faculty conference attendance.
  14. Track and monitor resident/faculty scholarly activity.
  15. Track and monitor faculty development.
  16. Regularly track and monitor resident/fellow duty hours and alert Program Director and Service of violations or potential overage of hours average to mitigate ahead of time.
  17. Manage all aspects of resident/fellow recruitment, including review all incoming applications through the Electronic Residency application Service (ERAS) or Fellowship Match; create and update brochures, posters and websites; schedule interview dates; and coordinate pre-interview dinners and interview day activities.
  18. Plan and coordinate department events including resident/fellow orientations, graduation dinner, and welcome parties.
  19. Proctor and coordinate all required examinations.
  20. Create, distribute and update resident/fellow rotation schedules, resident/fellow handbook and rotation goals & objectives manual.
  21. Enter resident/fellow call schedules into hospital on-call schedule software (i.e. Perfect Serve, AMION, etc.).
  22. Track resident/fellow vacations, sick leave, and leaves of absence.
  23. Process letters of recommendation and training verification forms.
  24. Process requests of training verification for all former residents.
  25. Assist in preparation of chief packets to specific certification board.
  26. Do administrative documentation submission to GME for all outside rotators and upon approval do necessary access/privileges/capabilities in necessary systems.
  27. May assist with faculty recruitment and new faculty onboarding and orientation.

Additional duties for higher level coordinators/administrators/managers may include:

  1. Planning and coordinating mock oral examinations.
  2. Coordinating research activities / annual forums.
  3. Manage additional staff members – develop performance standards, hire/fire, conduct performance reviews, and initiate personnel action forms.
  4. Interpret hospital policies and procedures and guide staff, residents and faculty to ensure compliance.

Qualifications

  1. Minimum:
    1. Five years related experience.
    2. High School Diploma/GED.
    3. Experience with MS Office and Google Business Suite.
  2. Preferred:
    1. Associate's Degree.
    2. Previous GME or medical student education experience.
