Job summary

Advocate Health seeks an experienced administrative professional to support the Department of Medical Education: Surgery at Navicent Health Medical Center. This full-time role coordinates diversified secretarial tasks, prepares letters and reports, and manages calendars and meetings.

Under supervision, you will maintain program records and agreements, assist with recruitment materials, arrange travel, and handle supplies.

Qualifications

  • High School or equivalent with 5 years executive secretarial experience, or an Associate degree with 3–4 years administrative experience.
  • Typing 55 WPM minimum and basic computer knowledge; ability to prioritize work; strong written and verbal communication.

Responsibilities

  • Coordinate and perform diversified administrative and secretarial work for the department.
  • Prepare letters, memos, reports, and other correspondence.
  • Initiate follow-up for calls and correspondence.
  • Under supervision, initiate and maintain required Program Letters of Agreement for the department.
  • Assist in development of presentations, handouts, signs, invitations, etc., using various software applications.
  • Generate weekly noon conference schedule for distribution with input from the Associate Program Director.
  • Represent the system in communication with residents, associates, and outside callers.
  • Greet and direct walk-ins, including residents, associates and visitors.
  • Respond to resident concerns and inquiries and assist in resolving or directing to appropriate parties.
  • Maintain inventory and ordering of supplies.
  • Prepare expense reports, check requests and invoicing for the department.
  • Develop a basic competency in ERAS to assist recruitment.
  • Create and maintain resident records and files, including electronic portfolios and hard copies.
  • Assist with data compilation for residents’ performance reviews and scheduling of reviews.
  • Generate reports as requested by Program Director and Program Administrator.
  • Maintain calendar and schedule meetings for the Program Director and others.
  • Arrange catering, AV requests, and travel for departmental meetings and staff.

Pay Range:

$26.55 - $39.85

Major Responsibilities:

  • Creates and maintains resident records and files for the department. This includes electronic resident portfolios as well as hard copies.
  • Assists with compilation of data for residents' semi-annual and annual performance, including scheduling of individual reviews with faculty.
  • Generate reports as request by Program Director and Program Administrator.
  • Maintains calendar, schedules meetings for Program Director and others within department.
  • Arranges catering, AV requests, etc., for all departmental meetings.
  • Arranges travel arrangements, including hotel and airline, ground transportation, seminar registrations, etc. for departmental staff.
Education/Experience Required:

High School education or equivalent 5 years of executive level secretarial experience OR Associates degree and 3-4 years administrative secretarial experience

Knowledge, Skills & Abilities Required:

Typing 55 WPM Minimum Basic computer knowledge Ability to prioritize work Effective interpersonal communication skills, written & verbal. N/A

Physical Requirements and Working Conditions:

Ability to work in changing environments, stressful conditions and have problem solving ability. Ability to prioritize independently and respond to multiple simultaneous request/projects. Ability to work and communicate with people from culturally diverse backgrounds. 25-30 lbs (copy paper boxes, record retention, etc.)
