Job summary

Yale Cancer Center in New Haven, CT is seeking a Research Coordinator to oversee collection, processing, and distribution of biospecimens for a multi-center study involving five institutions. You will serve as liaison across sites, track samples, and ensure data quality in REDCap.

Qualifications

Responsibilities

  • Serve as the primary liaison between five participating centers, facilitating communication and oversight regarding specimen collection and shipment.
  • Coordinate with study personnel across all participating sites to ensure the timely receipt and accurate tracking of approximately 200-300 blood and tissue samples over the study period.
  • Oversee the collection and management of associated annotated clinical data and History of Present Illness (HPI) information entered into the REDCap database by all external sites.
  • Enter all clinical and collection data on Yale and West Haven VA patients into the REDCap database.
  • Supervise specimen intake activities.
  • Maintain accurate specimen inventories and ensure compliance with study protocols, regulatory requirements, and biospecimen handling procedures.
  • Coordinate the processing and dissemination of samples to collaborating laboratory investigators ensuring proper chain of custody and documentation.
  • Monitor specimen and data workflows to ensure completeness, accuracy, and adherence to project timelines.
  • Generate reports on specimen accrual, inventory status, data completeness, and laboratory distributions for study leadership.
  • Participate in study meetings and contribute to the development and implementation of standard operating procedures related to biospecimen management and multi-site coordination.

Overview

The Research Coordinator will oversee and manage the collection, receipt, tracking, processing, and distribution of biological specimens and associated clinical data for a multi-center research study involving five collaborating institutions: Yale University, West Haven VA Medical Center, Massachusetts General Hospital, Aurora Health, and Vanderbilt University Medical Center.

Key Responsibilities
  • Serve as the primary liaison between the five participating centers, facilitating communication and oversight regarding specimen collection and shipment.

  • 4. Prior experience in a clinical lab or clinical trial is preferred.
Preferred Skills and Abilities

This position is particularly well suited for a pre-medical student, recent graduate, or gap-year candidate preparing for the MCAT and planning to pursue a career in medicine or another health profession. The role provides extensive exposure to clinical research operations, biospecimen management, and collaboration with leading academic medical centers. The successful candidate will be supported by and work closely with the Director and Co-Director of the Tissue Core and with the research assistant for the Tissue Core.

  • 1. Proven experience coordinating multi-site clinical or translational research studies.
  • 2. Proficiency with REDCap and research database management.
  • 3. Proven experience handling and tracking biological specimens, including blood and tissue samples.
Principal Responsibilities
  • 1. Compares protocols and sponsored projects to confirm consistency between funding proposals/awards and approved protocols.
  • 2. Documents established congruency between funding proposals and approved protocols.
  • 3. Facilitates and/or assists with resolution of any inconsistencies between funding proposals and approved protocols.
  • 4. Serves as a liaison between the Grants and Contracts offices, investigators, and business managers to resolve congruency issues in a timely manner.
  • 5. Attends meetings and presents issues when necessary that were identified during congruency review.
  • 6. Serves as a resource and provides technical assistance to investigators and their staff.
  • 7. Provides analytical and technical support related to establishing and recording protocol/grant congruency, as needed.
  • 8. Monitors federal and state regulations for new guidance, updates, or policies. Maintains a high degree of knowledge on these requirements to determine actions and follow directives that may be required to ensure University compliance with congruency review and reporting requirements.
  • 9. Develops, implements, and manages internal practices that ensure compliance with federal requirements.
  • 10. May perform other duties as assigned.
Required Education and Experience

Bachelor’s degree in a relevant academic/scientific field and a minimum of 3 years of related research support experience; or the equivalent combination of education or experience.
