Lurie Children's Hospital of Chicago is seeking a Research Administrative Manager in Simpson Querrey Biomedical Research Center to support Principal Investigators through onboarding, staffing, grants management, and budget oversight.

The role collaborates with the Office of Sponsored Programs, HR, and NU partners to ensure compliant operations, recruit staff, coordinate visa processes, and maintain smooth daily research activities.

Qualifications

  • Bachelor’s degree in a relevant field with 2+ years of experience or 6+ years in a related role.
  • Administrative experience in research administration preferred.
  • Proficient in PC and Mac environments and common office software.

Responsibilities

  • Assist PIs with onboarding, staffing, budget and grant progress reviews.
  • Advise on sponsor guidelines, deadlines, and institutional policies.
  • Support management of external grants and contracts, and resource planning.
  • Review Neighborhood fund accounts and prepare financial reports.
  • Coordinate faculty appointments with Pediatrics and NU collaborators.
  • Assist HR with recruitment, visas, and green card processes.
  • Coordinate Neighborhood programs with HR, Payroll, AP and NU teams.
  • Onboard new staff and maintain performance documentation as hiring contact.
  • Handle staff inquiries as hiring manager of record.

Job Description

The Research Administrative Manager reports to the Director, Research Support Office, Stanley Manne Children's Research Institute, and is responsible for assisting Principal Investigators (PIs) by providing onboarding and staffing, purchase approvals, grants management and Neighborhood organizational assistance. Ensures the smooth daily operation of the Neighborhoods and supports the faculty researchers, research associates, postdoctoral fellows, graduate students and laboratory technicians.

Essential Job Functions
  • Assists, in conjunction with Research Grants Specialist partners with the preparation of progress reports and institutional review processes, including budget and proposal and progress report preparation and review, interpretation of sponsor guidelines.
  • Interprets and advises PIs and Lurie Children's staff on Federal, State and institutional policies, procedures, guidelines, and deadlines in conjunction with the Research Grants Specialists and Office of Sponsored Programs (OSP).
  • Assists PIs in managing external grants and contracts, planning and carrying out research programs and goals to assure compatibility with available resources. Supports PIs and Office of Sponsored Programs, Sponsored Research Finance Office, and Office of Research Business Operations staff in oversight and monitoring of sponsored projects.
  • Reviews Neighborhood fund accounts consistent with approved budgets in coordination with Sponsored Research Finance Office accounting and accounts receivables. Assists in preparing and organizing the Neighborhood budget(s) and financial reports.
  • Assists with new faculty recruitment and works with the Department of Pediatrics and Northwestern University collaborators to coordinate new faculty appointments.
  • Works with Lurie Children's Human Resources department to recruit staff and fill vacancies, completing necessary requisitions and related documentation consistent with Hospital policy.
  • Works with Lurie Children's Human Resources department, Northwestern University and outside law firms to assist faculty and staff with Visa and green card applications.
  • Assists with the operations of Neighborhood programs with direction from the Neighborhood Lead(s); liaising with collaborating Lurie and NU departments and divisions including HR, Payroll, AP, NU OISS .
  • Assists the Neighborhood Lead(s) and/or PIs with new employee onboarding and orientation. Assists Neighborhood Lead(s) with preparation of confidential paperwork related to faculty and staff performance evaluations as well as any ongoing performance needs. Serves as impartial contact for staff and faculty as hiring manager of record in any performance or work duty inquiry.
  • Other job functions as assigned.
Knowledge, Skills, and Abilities
  • Education Experience: Bachelor's degree in relevant field and 2+ years experience or 6+ years related experience.
  • Job Related Experience: Administrative experience required in research administration, preferably in a scientific setting.
  • Expertise with both PC and Mac computers is preferable. Experience with desktop publishing and programs such as Word, Excel, PowerPoint, EndNote, Adobe Photoshop and ability to insert figures, etc. Demonstrated working experience with computer-based proposal management systems and databases preferred.
  • Must have excellent organizational and prioritization skills to effectively manage priorities of multiple team members.
  • Ability to provide high level of quality customer service to team members, employees, management staff, in addition to external customers.
  • Excellent analytical and process/systems thinking skills; excellent problem-solving skills.
  • Strong communication and organizational skills.
Pay Range
  • $76,960.00-$125,840.00 Salary

The pay range for this job indicates minimum and maximum targets for the position. Ranges are regularly reviewed to stay aligned with market conditions.
