Job summary

The Arc New Mexico is seeking a Rep-Payee Program Specialist to support SSA/SSI compliance and client financial management. You will assist with intake, budgeting, disbursements, and reporting, ensuring accountable handling of funds and adherence to program rules.

Responsibilities include coordinating with guardians and providers, maintaining client records, and assisting the Program Manager to ensure timely payments and accurate documentation in a sensitive, confidential environment.

Qualifications

  • High School Diploma or GED required with at least 1 year of financial/administrative experience.
  • Ability to pass comprehensive background check.
  • Valid driver's license and access to a car.
  • Strong attention to detail and confidentiality.

Responsibilities

Job description

Primary function of this position is assist the Rep-Payee Manager in monitoring the collective accounts held by The Arc New Mexico on behalf of Social Security beneficiaries (Arc Clients): including Discretionary Authority; Conforming to all regulations, policies, and compliance functions required by law.

Performance Measures: A successful Rep-Payee Program Specialist will produce positive outcomes in the following areas: maintain objectivity while exercising discretionary authority; ensure money spent will enhance the life of the client; stay up to date on all federal, state, and local laws regarding SSI, Medicaid, and NM income support division.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Client Intake & Account Coordination
  • Perform intake, as needed, for The Arc of New Mexico Rep-Payee Program using eligibility criteria established by the program and Social Security Administration requirements
  • Participate in meetings with clients, guardians, family members, and providers to establish budgets, payment plans, and financial education goals when appropriate
  • Maintain communication with clients, guardians, agencies, and family living providers to ensure accurate and up-to-date information regarding account activity and client needs
Account Administration & Client Support
  • Respond to client payment requests in a timely, respectful, and professional manner in coordination with the Rep-Payee Program Manager
  • Assist with monitoring collective accounts for all clients consistent with program guidelines and SSA requirements
  • Assist with management of client accounts, including bill payments, disbursements, and ensuring funds are available in a timely manner for client needs
  • Maintain current knowledge of SSI, Medicaid, and Income Support Division rules and requirements to support continued client eligibility and participation in the program
Reporting, Documentation & Recordkeeping
  • Produce monthly wage reports and submit required documentation to the Social Security Administration
  • Generate timely and accurate reports, as requested, for agencies, banks, clients, Social Security Administration, and Income Support Division
  • Develop and maintain document filing and records management schedules to ensure records remain organized, accurate, and compliant
  • Maintain and update confidential databases and client records for the Rep-Payee Program
  • Assist with maintaining accurate records and documentation necessary for compliance, audits, and program reporting requirements
Program Participation & Support
  • Participate in client education plans, financial education efforts, and Arc-sponsored trainings for clients and families
  • Apply the use of technology and software systems to improve efficiency and quality of service delivery
  • Support continuous improvement of program workflows, systems, and service delivery practices

Other Duties as Assigned and that meet the minimum qualifications of this position.

Routine office environment. Regular work week with occasional early evening or weekend hours.

Must be able to pass comprehensive background check.

Must have car, valid driver’s license, and meet the required automobile insurance minimums for the State of N.M.

Physical Requirements

Position is primarily an office setting, requiring long periods of sitting at a desk and computer. The position requires the ability to lift 20 pounds unassisted, 40 pounds with assistance. Frequent visits to training and enrollment sites may require driving in inclement weather or in the evening after sunset.
