Job summary

Custom Truck One Source is seeking a Rental Coordinator in Sacramento, CA to support sales and administration for rental units. You will open/close contracts, manage paperwork, and coordinate shipping and inventory across locations.

The role emphasizes attention to detail, strong communication, and a proactive approach to servicing customers and supporting the service department. Local travel not required.

Qualifications

• High school diploma or the equivalent; college degree a plus.
• 2 years proven experience in a similar role.
• Background in aerial, construction equipment, and heavy & light duty trucks preferred.
• Extremely detail oriented and accurate.
• Must work in a fast-paced environment.
• Setting priorities and adapting to changing work priorities.
• Self-sufficient and driven with deadlines.
• Professional personal appearance and strong attendance.
• General mechanical aptitude; knowledge of hydraulics and diesel equipment helpful.

Responsibilities

• Locate and obtain rental units from other locations for customers.
• Open and close rental contracts and work orders for repairs on rentals.
• Provide DOT forms and create BOLs for rental units.
• Understand fleet and applications; assist with sales forms.
• Coordinate shipping quotes and nationwide rental deliveries.
• Maintain inventory data and asset files; update spreadsheets.
• Process PO numbers for vendors and handle licensing inquiries.
• Ensure timely rental paperwork and unit turnover with service dept.
• Monitor monthly rental revenue and report findings.

Summary

The Rental Coordinator will be responsible for the sales support and administration workflow, ensuring proper rental practices and high customer service and satisfaction.

Essential Duties And Responsibilities

• Locating and obtaining rental units from other locations for customers.
• Opening and closing of rental contracts and work orders for repairs on rental units.
• Supplying necessary DOT compliance forms for rental units and creating BOL’s.
• Understanding our fleet of rental units and their applications.
• Understanding and obtaining information from units for sales forms.
• Contact vendors for shipping quotes and shipping rental units to customers nationwide.
• Maintaining new unit and rental unit inventory, upfit inventory data entry, local company spreadsheets, and company asset files.
• Creating and supplying PO numbers for vendors.
• Completing license and registration for assets and assisting customers with license and title inquiries.
• Complete and scan all shipping forms and rental paperwork.
• Performing regular inventory for the units on ground.
• Working directly with headquarters for rental and RPO pricing.
• Create and maintain a superior experience for customers.
• Work directly with the service department to ensure a quick turnaround time on downed rental units.
• Monitor and report our monthly rental revenue.

Required Skills And Qualifications

• General mechanical aptitude and experience with parts required. Knowledge of hydraulic, heavy equipment, diesel truck and/or farm equipment preferred.
• Computers and Electronics — General aptitude in working with common computer software (MS Office Suite, internet, etc.) to process orders. Knowledge of inventory software (M3, Rentalman, etc.) to process purchase orders and tracking inventory helpful.
• Knowledge of principles and processes for providing a positive service experience. This includes internal client needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
• Must be able to communicate effectively and professionally, both verbally and in writing.

Working Conditions

• Majority of work performed in an office setting and occasionally in the shop.
• Occasionally may be exposed to bright lights, extreme temperatures, loud noise, dust, gas and/or fumes
• Able to work as scheduled with punctual attendance 7:00 am-4:30 pm, Monday-Friday plus any additional hours/days necessary in order to meet business demands

Physical Requirements

• The ability to bend, stoop and lift up to 25 lbs.
• Occasional lifting, carrying, pushing, and/or pulling; some climbing and balancing, stooping, kneeling, crouching, and/or crawling
