Overview
The purpose of this position is to provide operational and sales support for the development of rental for the Cat Rental Store. As Dealers start and grow their rental businesses, they will face different sets of challenges, which will require different types of support. The role of the Rental Coordinator is to develop an understanding of the support needs of the customer for the Cat Rental Store and initiate plans to address those needs. To be effective, the Rental Coordinator must establish an understanding of the objectives and accountabilities below.
Basic Duties
OBJECTIVES & ACCOUNTABILITIES (including, but not limited to):
- Open branch for business prior to hours of operation each day.
- Answer 100% of incoming calls within 3 rings. Phone logs filled out completely and consistently.
- Before closing branch:
- 100% of billings for that day are completed
- 100% of deliveries for the next day are logged and written in order
- Phones are turned over to the Answering Service
- Security system is enabled and branch doors/gates are locked
On a daily basis, check for credit limit violations on 100% of rental reservations to credit customers and acquire credit approvals as required.Check 100% of credit applications for accuracy and completion before forwarding to credit for processing.Complete 100% of Rental Agreements with the following details:- Full company name and address
- First and last name of company contact
- Date ordered / date rental begins / estimated return date
- PO# and complete directions (job name / job address)
- Delivery rate
- Special equipment needed
- Rental Rates
- Phone number
- Fire, Theft and Vandalism coverage
Ensure 90% of all Rental Agreements have customer REP endorsement and contract acceptance signature at all times.Account for 100% of inventory at all times:- Maintain computer accuracy daily
- Document deliveries, pickups, swaps, non-revenue movements, etc., in a timely fashion
Learn and stay informed about competitive pricing and market tendencies.Charge back 100% of applicable refueling fees to customers.Complete 100% of assigned reports by the required deadline.Maintain daily logs (lost rent, substitution, delivery) and discuss with Branch Manager and Sales Representative.Keep equipment specifications and current prices updated monthly at the counter.Understand and explain the company’s REP policy effectively.Communicate equipment applications and key performance specifications clearly.Keep the counter and showroom clean and orderly; dress professionally.Make 20 telemarketing calls per week.Complete 100% of special assignments or projects from Branch Manager on time.Follow procedures to communicate with the service department regarding equipment issues.Qualifications

- Collaborate with personnel to ensure customer satisfaction.
- Promote add-on sales and merchandise from the rental store.
- Provide information about equipment and services available locally.
- Ask questions about delivery conditions and notify customers of delays.
- Follow up on overdue rental contracts.
Technical Skills:
- Understand usage and applications of all rental equipment and services.
- Know common equipment failure problems and solutions.
- Recognize differences between similar products and their advantages/disadvantages.
- Have knowledge of construction phases for proper application advice.
- Open and close work orders for rental technicians.

Physical Requirements/Working Conditions
This position involves working in a shop/warehouse and an office environment. May require sitting at a desk, answering calls, and typing. Walking and lifting up to 75 lbs. may be necessary. Noise levels vary from moderate to high in the shop/warehouse and moderate to low in the office. Accommodations can be made for individuals with disabilities.
