Job summary

The Jamrog Group in Holyoke, MA is seeking an Operations Associate to keep our financial planning and client service engine running smoothly. This role suits detail-oriented, organized individuals who own their work and follow through from start to finish.

You'll manage workflows across the planning lifecycle, prepare for client meetings, and support advisors and clients with account maintenance and documentation in our CRM and planning software. Remote options support flexibility.

Qualifications

• 2+ years in operations or client service in financial services or similar setting.
• Strong organization and time-management with multiple priorities.
• Excellent attention to detail and follow-through.
• Strong written and verbal communication.
• Proactive ownership of responsibilities.
• Comfort with established processes while identifying improvements.
• Ability to learn new technology and systems quickly.
• Proficiency with Microsoft Office.

Responsibilities

• Manage financial planning workflows across the planning lifecycle.
• Track engagements, deadlines, outstanding items, and next steps.
• Coordinate invoicing and recurring service activities.
• Prepare forms for client signature.
• Enter and maintain accurate client information in CRM and planning software.
• Identify stalled workflows and move them toward completion.
• Prepare advisors for client meetings and generate agendas.
• Review prior notes, outstanding actions, and anticipate client needs.
• Process account maintenance requests and support servicing activities.
• Monitor paperwork and proactively follow up with clients and internal teams.
• Maintain accurate client records and CRM data.
• Communicate clearly so clients and advisors understand next steps.
