Scope and Function:
We're looking for an experienced, warm, detail-oriented, and self-driven Operations Associate to be a central part of our team. This is a great fit for someone who takes pride in getting things right the first time. The ideal candidate has three to five years working in a high-touch professional services environment where precision and client service matter.
You'll support our Advisors and deliver outstanding client service, while keeping our office running smoothly. This role has opportunity for growth over time. That said, we encourage employees to fully commit to excellence in their current responsibilities as the foundation for what comes next.
This role is full-time and on-site in our client-facing office in Amesbury, Massachusetts.
What You'll Do:
New Client Onboarding
- Serve as the primary administrative contact for new client intake
- Enter data and compile account-opening paperwork carefully and completely, owning each task through to completion
High-Touch Client Service
- Communicate with clients promptly, clearly, and reliably via phone and email to address questions and requests
- Process forms and paperwork (transfers, deposits, beneficiary updates, estate documents, etc.)
- Prepare meeting materials including gathering data, agendas, talking points, and financial summaries. Post-meeting, update our CRM and own any follow-ups.
- Maintain and update client records in our CRM system and prepare reports to monitor account activity, touchpoints, business growth, and more
- Anticipate client needs and be prepared to offer support and follow up on all interactions
Office & Operations
- Own and update an ongoing list of general tasks and client requests, using our CRM, and track these through to completion. Inform the Advisor and team of progress regularly.
- Think logically to notice what's coming next (necessary follow-up, a missing document or field, an upcoming deadline) and act on it before being asked
- Use strategic thinking to offer solutions to everyday challenges to improve our efficiency and help grow our business
- Manage Advisor calendars especially meeting scheduling. Handle mail, triage calls, and monitor website inquiries.
- Assist with data entry in eMoney, Holistiplan, MoneyGuidePro, and similar platforms to build financial plans and strategies
- Support local networking efforts and client event planning
- Take advantage of online resources and continuing education opportunities. Complete all required compliance and continuing education credits on time.

Qualifications
- Associates or Bachelor's degree required
- Minimum of 3-5 years in a professional services environment required — financial advisory, banking, accounting, or similar preferred
- Proficiency in Microsoft Office Suite, especially Excel
- Experience with CRM systems, financial planning software, and bookkeeping platforms (Intuit QuickBooks) is a plus
- Familiarity with custodial platforms (such as Raymond James, Edward Jones, Charles Schwab, Merrill Lynch, Fidelity) a strong plus
- SIE, series 7, 63, or 65 license (or in progress) would be an extra bonus
