Job summary

United States Digital Space LLC is seeking a guest-facing Email Coordination Coordinator for a fast-growing luxury travel and concierge operation. You’ll be the primary link between guests and hotels and suppliers, gathering trip details, communicating preferences, and ensuring every interaction is warm, accurate, and on-brand.

You’ll handle rate checking as a supporting task, manage high-volume emails, and coordinate hotel and supplier outreach.

Qualifications

• Experience coordinating guest communications via email and coordinating with hotels/suppliers.
• Experience maintaining warm, on-brand written communication and timely follow-ups.
• Ability to triage high-volume email inboxes and manage shift handovers in Notion.

Responsibilities

• Guest & Hotel Email Coordination: gather trip details, preferences, ETAs, and special requests via email.
• Rate Checking (Supporting): verify best available rates and document pricing with hotels or suppliers.
• High-Volume Email Management: triage, label, and process inquiries to maintain inbox zero.
• Hotel & Supplier Outreach: contact hotels/vendors for confirmations, flag issues, and follow up on outstanding items.
• Shift Handovers & Notion: update Notion with open items and actions for the next coordinator.
