Qualifications

• Minimum of 3 years of experience in administrative positions for legal environments in the U.S.

• Strong organizational and time management skills with the ability to handle multiple deadlines.
• Professional, client-focused demeanor with high attention to detail.

Responsibilities

• Answer incoming phone calls professionally and ensure clients feel welcomed and valued.
• Route calls and messages to the appropriate team members following established procedures.
• Conduct client intake and collect essential client information.
• Manage calendars and schedule appointments for clients and prospective clients.
• Follow up with clients to confirm appointments and provide updates on pending matters.
• Enter and maintain accurate client information in the firm's software and databases.
• Prepare standard client correspondence, including engagement letters and closing letters.
• Coordinate client signing ceremonies, including notaries and witnesses for in-person and virtual appointments.
