Job summary

University of Wisconsin–Madison, School of Medicine and Public Health, Department of Pediatrics, seeks an Administrative Manager to support clinical operations and staff across divisions. Qualifications

• Minimum 4 years of administrative experience with increasing responsibility.
• Coursework or experience in project management.
• Proficiency/advanced skills in Microsoft Excel, Word, Outlook, and PowerPoint.

Responsibilities

• May supervise staff, including hiring, transferring, suspending, promoting, managing conduct and performance, and approving hours worked for at least 2.0 FTE or equivalent.
• Identify workflow needs, contribute to strategic and operational solutions, allocate resources, and implement revised unit policies and procedures.
• Lead development and maintenance of systems, reporting, and dashboards to support clinical productivity and operational needs in collaboration with department and institutional colleagues.
• Contribute to proposals for funding or continuation from outside sponsors.
• Schedule logistics and secure resources for program activities across multiple units to ensure efficiency and compliance with policies and procedures.
• Lead the development and preparation of periodic reports and financial statements, and track progress for leadership or external agencies.
• Plan, implement, execute, and evaluate strategies and objectives for a program and make recommendations to leadership for enhancements.
• Assist in development and monitoring of the unit or program budget and approve unit expenditures.
