Job summary

Healthcare Workforce Logistics, LLC is seeking a Financial Operations Specialist to join our remote, full-time team. You will manage the full-cycle billing and collections, including MSP and VMS billing, manual invoices, timecard reconciliation, and AR follow-up, working with clients, staffing suppliers, and internal teams.

The role emphasizes accuracy, timely processing, and clear communication, with opportunities to streamline processes, generate reports, and support special billing

Qualifications

• High school diploma or equivalent; accounting/finance coursework is a plus.
• 1–2 years of billing, accounts receivable, accounting, payroll, or collections experience preferred.
• Strong attention to detail with focus on accuracy and timely follow-through.
• Excellent organizational and problem-solving skills.
• Professional communication with clients, suppliers, and internal teams by phone and email.
• Proficiency with Microsoft Excel; comfortable learning multiple systems.
• Experience with VMS or MSP environments is a plus.

Responsibilities

• Billing & Accounts Receivable: manage MSP billing, reverse billing, and VMS-based billing; process manual invoices as needed.
• Monitor timecard activity and follow up to ensure timely submission and approval.
• Research and resolve missing timesheets, discrepancies, unapplied cash, and payment issues.
• Respond to supplier and client billing inquiries and resolve issues.
• Prepare billing, usage, discrepancy, and reconciliation reports; maintain accurate records.
• Collections: contact clients and suppliers on outstanding balances; arrange payment plans as needed.
• Maintain documentation of collection activities and communicate status to stakeholders.
• Develop reports to monitor billing, collections, and accounts receivable health.
