Qualifications

• 1–3 years of experience in event production or related field.
• Strong organization skills with ability to manage multiple requests and prioritize.
• Excellent written and verbal communication skills.
• Strong attention to detail and follow-through.
• Ability to work under pressure and adapt to changing circumstances.
• Proactive problem solving—identify issues early and take action.
• Willingness to travel and work non-traditional hours.
• Proficiency with Microsoft Office/Google Workspace; experience with project management or event production software is a plus.

Responsibilities

• Support live events, brand activations, and conferences from planning through onsite execution and post-event wrap.
• Collaborate with Producers, Account, Creative, Strategy, and Operations; assist VP of Production.
• Track deliverables, timelines, and action items across all phases.
• Maintain production schedules, run-of-show documents, and shared folders for access.
• Assist with budgets, estimates, invoices, and vendor documentation to maintain budget control.
• Coordinate vendor logistics, bids, and contracts; source vendors as needed.
• Coordinate internal meetings, capture notes and action items to ensure progress.
• Manage freelance staff lists and production templates to standardize processes.
• Develop and maintain production schedules, timelines, run-of-show, and checklists.
