Job summary

BMO Financial Group is seeking a Centralized Support Associate to provide experienced, high-quality administrative support to advisory practices during staff gaps. This national, mostly virtual role adapts quickly to different practice needs, ensuring continuity and accuracy across service standards.

You will learn onboarding processes, coordinate client meetings and marketing activity, and support Investment Advisors with account handling and regulatory tasks.

Qualifications

• Typically 3–5 years of relevant experience with Nesbitt Burns preferred or equivalent
• Advanced knowledge of investment processes and procedures
• Advanced knowledge of Sales Administration Manual processes
• Knowledge of compliance practices and regulations
• Knowledge of Insurance and group products is an asset
• Knowledge of Trust and Estate services is an asset
• Knowledge of Financial/Retirement planning
• Strong organization, prioritization, problem solving, communication and relationship skills
• Ability to learn quickly and work independently in a virtual environment
• CIRO IR licensing is not required but is an asset
• Specialized knowledge in related field
• Good verbal and written communication, organization and collaboration skills

Responsibilities

• Deliver experienced administrative support during temporary staffing gaps, hiring transitions, and short-term absences.
• Learn and adapt to each assigned practice’s routines, book structure, priorities and service expectations.
• Participate in onboarding at the start of engagements and clarify responsibilities and escalation channels.
• Book meetings with prospects and clients, and prepare meeting packages.
• Coordinate marketing activities for the advisory team, including websites and client events.
• Schedule client portfolio reviews and prepare updates for Investment Advisors.
• Follow up on client inquiries, account maintenance, and new accounts setup.
• Process client documents and regulatory paperwork; maintain client files and databases.
• Balance assets and notify IAs of required actions; ensure privacy and compliance.
• Mentor new staff and provide team support on policies and procedures.
