Job summary

Foundation Health Partners is seeking an organized Registration and Scheduling Representative for our General Surgery clinic. You’ll greet patients, register and schedule, and handle inquiries to ensure timely access to care.

Greet patients, verify insurance, input data, collect payments, and coordinate case times in the scheduling system. Strong communication and multitasking in a busy medical office are essential.

Qualifications

  • High school diploma or GED.
  • Two or more years of related work experience.
  • Excellent customer service skills and communication.
  • Ability to manage multiple tasks with minimal supervision.
  • Strong interpersonal, oral and written communication in a busy medical office.
  • Proficient in common office software.

Responsibilities

  • Greet and assist patients with registration and scheduling.
  • Answer inbound calls and route information to the appropriate team.
  • Collect and input patient demographics and insurance information.
  • Verify insurance eligibility and benefits.
  • Obtain signatures and necessary consent forms.
  • Coordinate case times in scheduling system and review physician privileges.
  • Process co-pays and payments as needed.
  • Address inquiries regarding registration, insurance or billing.
  • Collaborate with clinical staff and administration to maintain patient flow.
  • Monitor voicemails and route messages for timely follow-up.
  • Organize documents in RightFax for proper routing.

Job description

We are seeking an organized and friendly Registration and Scheduling Representative to join our General Surgery clinic. In this vital role, you will be the first point of contact for patients, assisting them with registration, scheduling appointments, and managing inquiries. Your excellent communication skills and attention to detail will ensure a seamless experience for our patients, while your ability to coordinate schedules will support our surgical team in providing timely care.

This position combines registration duties with scheduling responsibilities to ensure a streamlined patient experience. In this role, the representative will greet patient, collect demographic and insurance information, and schedule appointments. This position requires strong organizational skills, the ability to prioritize tasks, and a focus on delivering exceptional customer service. This role serves as a key liaison between patients, clinical teams, an administrative staff to facilitate timely access to care.

  • Greet patients promptly and professionally, ensuring a positive first impression.
  • Answers inbound calls promptly, documents relevant details in phone notes, and ensures accurate and efficient communication of information to the appropriate team or individual.
  • Accurately gather and input patient demographics, insurance information, and other required data into the system.
  • Verify insurance eligibility, benefits, and coverage, and obtains per-authorization and pre-certifications and notifications prior to services being rendered.
  • Obtain necessary signatures, consent forms, and documentation from patients.
  • Receives physician orders and seeks clarification, if needed. Coordinates case times for treatments or diagnostic procedures in a computerized scheduling system. Verifies and reviews physician privilege status prior to scheduling.
  • Calculate, collect and process co-pays, payments, or outstanding balances as needed.
  • Address patient inquires regarding registration, insurance, or billing processes.
  • Collaborates with clinical staff and/or business office to ensure seamless patient flow and accurate data sharing.
  • Monitors and retrieves voicemails regularly, ensuring messages are reviewed and routed to the appropriate team for timely follow up- and resolution.
  • Sorts and organizes incoming documents in RightFax, ensuring they are accurately categorized and routed to the appropriate team or department.

Performs all functions according to established policies, procedures, regulatory and accreditation requirements, as well as applicable professional standards. Provides all customers of Foundation Health with an excellent service experience by consistently demonstrating our core and leader behaviors each and every day.

  • High school diploma/GED or equivalent working knowledge.
  • Requires Skills Normally Acquired Over Two (2) or More Years of Related Work Experience
  • Requires excellent customer service skills and knowledge, as normally acquired with one (1) or more years of related work experience.
  • Requires the ability to manage multiple tasks simultaneously with minimal supervision and ability to work independently.
  • Requires excellent interpersonal, oral, and written communication skills to effectively interact with a wide range of audiences. Must have the ability to handle ongoing face-to-face contact with patients and staff while functioning in a busy medical office environment.
  • Strong knowledge in the use of common office software, word processing, spreadsheet, and database software are required.
Preferred Qualifications
  • Medical terminology experience is preferred.
  • Additional related education and/or experience preferred.
