Responsibilities
Job Summary

Acts as the first point of contact for all customers, organizing and facilitating clerical and administrative duties within the department. Performs cross-functional clerical and patient support tasks, including telephone handling, registration, scheduling, data entry, and communication with physicians’ offices. Responsible for maintaining patient charts and ensuring effective communication and documentation as needed. Duties may vary based on departmental needs.

Essential Functions
  • Greet and communicate with customers, answer calls, manage voicemails, and direct information appropriately. Orient patients with directions and instructions. Support imaging procedures as directed, including transferring calls, retrieving reports, maintaining patient workflow, and assisting with transport and documentation.
  • Perform scheduling for procedures and appointments, track no-shows, and communicate with physicians. Provide scheduling information to staff as needed.
  • Handle registration duties, including initial patient registration, creating electronic records, obtaining signatures, and coordinating authorizations and referrals. Enter and scan registration data daily.
  • Obtain insurance authorizations, collect co-pays, process deposits, and billing as applicable.
  • Maintain patient charts in compliance with HIPAA, communicate with insurance and billing departments for authorizations, and ensure proper documentation transfer to medical records.
  • Review emails daily, provide relevant information to supervisors, and perform inventory management for supplies and forms.
  • Perform additional duties as assigned.
Education
  • High School Diploma or GED (Required)
Experience
  • Preferred: 1 year in a healthcare-related field with knowledge of medical terminology or experience in scheduling and registration.
  • Preferred: 2 years in healthcare with experience in scheduling, registration, or patient access roles.
Licenses and Certifications
  • Fingerprint Clearance Card - Required. Must have or obtain within seven days of employment, especially for Pediatric Behavioral Health sites.
