Responsibilities

Job Summary
Serve as the first point of contact for all customers, managing clerical and administrative duties within the department. Perform cross-functional clerical tasks including telephone handling, patient registration, scheduling, data entry, and communication with physicians' offices. Maintain patient charts and support departmental needs as required.

Essential Functions
  • Greet and communicate with customers, answer calls, manage voicemails, and direct information appropriately. Orient patients and assist with imaging support duties such as retrieving images from PACS, maintaining patient workflow, and assisting staff as directed.
  • Schedule procedures and follow-up appointments, track no-shows, and communicate with physicians. Provide scheduling information to staff as needed.
  • Perform patient registration, gather signatures, coordinate authorizations, and handle financial responsibilities. Enter data and scan registration documents daily.
  • Obtain insurance authorizations, collect co-pays, process deposits and billing, and ensure proper documentation and forwarding of information to medical records.
  • Maintain patient charts with accurate information, communicate with insurance and billing departments, and update authorizations as needed.
  • Monitor email daily, report relevant information to supervisors, and maintain inventory of supplies.
  • Perform other duties as assigned.
Education
  • High School Diploma or GED - Required
Experience
  • Preferred: 1 year in healthcare or related field with knowledge of medical terminology; or experience in scheduling/registration within healthcare.
  • Preferred: 2 years in healthcare, including scheduling and registration, or related experience such as Patient Access, Medical Imaging, or Medical Scheduling.
Licenses and Certifications
  • Fingerprint Clearance Card - Required. Must have or obtain within seven days of employment, especially for Pediatric Behavioral Health sites.
