Job summary

UMass Memorial Health in Massachusetts is seeking a Registration Clerk to support patient access and intake across multiple locations. The role emphasizes accurate data entry, insurance verification, and maintaining positive patient interactions while collecting demographic and financial information.

The position reports to the Recruitment Team, offers a non-exempt status, an evening shift (3:00 pm–11:30 pm), and may include a signing bonus.

Responsibilities

  • Register patients and collect/enter demographic and financial information for all registration types, including signatures and documents.
  • Answer phone calls and return voicemails in a timely manner.
  • Verify insurance eligibility and determine patient financial responsibility.
  • Follow downtime procedures and maintain neat, organized work areas.
  • Contribute to patient experience improvements and accurate data entry.

Schedule Details: Holidays - Every Other Holiday, Sunday through Saturday, Weekends - Every Other Weekend

Scheduled Hours: 32 hrs 3:00pm-11:30pm

Shift: 2 - Evening Shift, 8 Hours (United States of America)

Major Responsibilities
  • Excellent customer service skills and knowledge, including service recovery.
  • Accurately collect and enter all patient demographic and financial information for all registration types, including obtaining signatures, scanning documents (ROB’s, ID’s, etc.), obtaining ABN’s/IMM’s when applicable and collecting patient financial responsibility.
  • Use reference material as necessary to ensure proper action and seek guidance when appropriate.
  • Follow downtime procedures as established and proactively work on downtime tasks such as DL’s, Insurance Management desktop, renaming faxed orders, cleanup of old/used orders, and ensuring work and patient waiting areas are neat and presentable.
  • Understand the impact of role on Press Ganey/HCAHPS scores and focus on positively influencing patient experience and likelihood to recommend.
  • Process pre‑registrations for all appointment types and locations, excluding ER.
  • Answer phone calls and return voicemails in a timely manner.
  • Seek guidance from the department manager when uncertain or when unusual situations occur; avoid impulsive or hasty decisions.
  • Treat everyone as a customer and establish good relationships with patients, visitors, ancillary departments and physician office personnel.
  • Use all eligibility resources to verify correct insurance in the account.
  • Work well within the team environment and maintain open communication with co‑workers, including during meal breaks and shift changes.
  • Accurately estimate patient financial liability and perform active collections, receipts, posting and reconciliation of cash.
  • Consistently meet or exceed Quality Review scores of 80%, 9 out of 12 months of the year.

Position Qualifications
License/Certification/Education
  • High school graduate or GED required.

Must work every other weekend and holidays. Also, must be available to train on first and second shift the first 5‑6 weeks. EPIC training classes are in Worcester for the first two weeks 8 am‑4:30 pm. Position is 3:00 pm‑11 pm. Hours can vary slightly depending on departmental need.
