Job summary

OrthoVirginia is seeking a Registration Coordinator to be the first contact for patients and visitors, handling scheduling, information entry, insurance verification, and co-pay collection. This role supports a team-driven environment across multiple locations.

You will collaborate with providers and billing to ensure smooth front-desk operations, while delivering excellent customer service and accurate record-keeping.

Qualifications

  • Must have excellent communication skills.
  • Experience in front-desk or medical office admin is preferred.
  • Knowledge of insurance verification and authorizations is a plus.

Responsibilities

  • Maintain the registration desk, answer phones, and schedule appointments.
  • Enter and update patient information, verify insurance, obtain authorizations, and collect co-pays.
  • Provide administrative support to providers (filing, dictation distribution).
  • Coordinate with billing on collections and payments, and balance accounts.

This position may also be responsible for insurance verifications/authorizations, patient scheduling and working with the clinic director to ensure smooth operations.Primary Functions & ResponsibilitiesMaintain the registration desk, answer phone lines, and schedule appointmentsEnter and update patient information, verify insurance coverage, obtain authorizations, and collect co-paysProvide administrative support to providers as needed (e.g. filing, distributing dictation, etc.)Provide general office assistance including purchasing of office supplies, maintenance of office equipment.Coordinate with billing office on collections and balancing payments.Serve as liaison between patients and the clinical staff and will work toward ensuring efficiency and excellent customer service.Adhere to established procedures for appointment scheduling, intake, and record-keeping for all patientsCollect appropriate copays, payments on accounts and payments for cash and carry supplies and accurately posts to patient's accountCommunicate with providers, medical assistants, financial counselors, patient resource coordinators and other support staff as neededDemonstrate sound knowledge of insurance plan participation and ensures appropriate processing of insurance informationManage telephone, fax, and e-mail requests in a timely and organized manner to ensure effective communication and excellent customer serviceAbility to work flexible schedules to meet clinic needsKnowledge, Skills & AbilitiesMust be able to multi-task with a strong sense of responsibility and initiativeStrong written and verbal communication and interpersonal skillsExceptional customer service skills and focusMust be comfortable assessing situations and resolving or escalating as requiredAble to establish/maintain effective working relationships with patients, staff payers and team membersStrong working knowledge with insurance authorizations, limitations/coverage, eligibility, billing, insurance regulations, insurance benefits and appeal processesMust be able to understand and explain most insurance and billing questions as it pertains to the patientCompensation Range for this position:$16.92 - $25.38Compensation for this role will be based on several factors, including the candidate's qualifications, relevant experience, education, skills, certifications, geography/market, and internal equity considerations.This organization participates in e-Verify.
