Job Description: Performs receptionist, registration, and clerical duties associated with direct and scheduled patient admissions.

Reports to: Department Manager

Responsibilities of the Position:

  1. Greets patients and handles check-in/check-out processes, including use of the Clockwise system.
  2. Ensures that all necessary demographic, billing, and clinical information is obtained and entered in the registration system accurately and promptly.
  3. Distributes and explains forms, documents, and educational handouts to patients or family members.
  4. Meets with patients or caregivers before or after admission to exchange necessary information, explain processes, and address questions or concerns.
  5. Communicates with admitting physicians, nursing staff, and other relevant personnel regarding patient admission and placement.
  6. Verifies insurance benefits and obtains precertification/authorization as needed. Handles co-pays and deductibles or refers to financial counselors.
  7. Prepares IMM's & MSP's timely to ensure compliance.
  8. Maintains lobby and registration wait times under 10 minutes.
  9. Verifies insurance and utilizes estimators for pre-registration accounts.
  10. Assists in the front lobby as needed.
  11. Obtains necessary authorizations to reduce denial rates.
  12. Responds to inquiries and forwards messages from patients, pharmacies, and providers to clinical staff per protocol.
  13. Maintains an accurate cash drawer during shifts.
  14. Follows up with patients post-visit as needed.
  15. Ensures cleanliness and functionality of the lobby and registration area.
  16. Performs other duties as required.

Qualifications:

  • High school diploma or equivalent.
  • Familiarity with Microsoft Office Suite; ability to use practice management, EMR, and Clockwise software accurately. Knowledge of insurance/medical terminology is preferred.
