Monsignor Edward Pace High School in Miami Gardens, Florida seeks to hire a Registrar. This position is responsible for providing the Guidance Office with clerical support along with their assigned tasks listed. This candidate performs all duties and responsibilities in alignment with the mission, vision, and values of the Catholic Archdiocese of Miami.
Essential Functions include:
- Provides exemplary customer service to employees and students who contact the Guidance Office at Monsignor Edward Pace High School by phone or in person.
- Processes the withdrawal of students by communicating with the different administrative offices and parents.
- Maintains the student withdrawal and alumni files. (Pace, ACND and NOTRE DAME)
- Records and files requests pertaining to court orders.
- Verifies attendance for State and Federal agencies.
- Provides legal letters and information as requested by Child Support Agencies for parents and legal representatives.
- Completes insurance forms for good student discount when requested.
- Provides student transcripts and health forms when requested.
- Inputs data for students with Bright Futures Financial Aid (input grades).
- Sends student/alumni transcripts via Naviance upon request.
- Input, print and file test scores from College Board, HSPT and ACT.
- Inputs transfer grades into AdminPlus.
- Process I-20's for students/parent requesting.
- Adhere to all district health and safety policies, including all precautions of the Blood borne Pathogens Exposure Control Plan.
- Learns basic terminology and titles of personnel in the Roman Catholic Church, especially in relation to hierarchical structure, to effectively relay messages and policies.
- Assist with Monsignor Edward Pace High School office tasks as assigned with confidentiality and discretion, demonstrating excellent internal and external customer service.
- Other duties as assigned by Director of Guidance.
Qualifications:
- Minimum: High School diploma or GED and one-year administrative experience in a customer-service environment, preferably a high school.
- Preferred: Post-secondary college or business-school education.
- Experience in a Roman Catholic environment strongly preferred.
- Good oral and written English-language communication skills, including clear speaking voice.
- Knowledge of basic tenets of Catholic Church, hierarchical structure and entities.
- Proficiency in Admin Plus, Excel and MS Outlook including calendar function.
- Basic word processing skills in MS Word.
- Ability to navigate search engines effectively to locate information for callers.
- Must learn and familiarize self with Archdiocesan Web site.
- Excellent customer service skills, including ability to maintain focus on and professionalism with people in challenging situations, both in person and by phone.
- Able to multi-task and retain accuracy in an environment of fielding simultaneous callers and visitors.
- Must be supportive of the mission and tenets of the Roman Catholic Church.
