Job Type: Full-time; Non-exempt

Work Hours: 8 hour shifts. 8am-4:30pm Sunday through Thursday or Tuesday through Saturday. Assigned days and/or nights; shift can be changed according to staffing needs. Must be available evenings, holidays, and weekends as required.

Pay Range: $78,062.40 - $86,881.60

Location: Carpinteria, CA

Travel: Occasionally required to travel by personal auto or air to meeting sites and other locations.

Position Summary

The Referral Donation Coordinator (RDC) has high proficiency in the referral management process and represents OneLegacy by reinforcing and supporting donation related processes as outlined in the UAGA (Uniform Anatomical Gift Act) and donation specific laws of the California Health and Safety Code. The RDC is responsible for maximizing donation opportunities at all our partner hospitals, coroner and medical examiner offices. The RDC is also responsible for representing OneLegacy to develop those relationships that will maximize the potential for organ, eye and tissue donation as well as assisting in determining if the referral is suitable for recovery and transplantation. The RDC is responsible for assisting hospitals to identify and refer potential donors, gathering and interpreting medical information to aid in the determination of suitability for a potential donor, discussing the plan of care with the medical team, providing donor management goals to help preserve the opportunity for donation, facilitating completion and review of brain death notes, representing OneLegacy to the potential donor’s authorizing party and when appropriate, undertakes registry notification or approach for donation authorization when necessary, as well as assisting in the donation process.

Duties & Responsibilities:

Referral Management Process (Referral Management)

1. Respond promptly and appropriately to potential donor referrals to assess suitability and enhance the donation process.
2. Establish and enhance relationships with hospital staff to increase referral activity.
3. Introduce themselves to the referred patient’s bedside nurse and the unit Charge Nurse to establish presence, notify them upon leaving, discuss plans and assessment, and inquire if anything else is needed. The attending physician should be knowledgeable of the OneLegacy referral with direct communication at least for the initial site visit and prior to any approach to the family or Authorizing Party (AP).
4. Collaborate with the Referral Triage Specialist (RTS), Referral-Supervisor of Organ Procurement (SOP‑R) and/or the Medical Director of Referral Management to manage all active referrals.
5. Access and review the referring hospital’s medical records and populate the Electronic Medical Records system per OneLegacy policy.
6. Review the patient’s medical records, discuss early medical derangements, current organ function and clinical plan with staff. Based on findings, formulate a treatment plan under the Medical Director’s direction and collaborate with physicians regarding interventions needed to optimize organ function and preserve donation opportunity.
7. Communicate effectively with hospital staff regarding the progression of active referrals.
8. Review medico‑legal documentation for brain death declaration for completeness and accuracy according to hospital policy, California Health and Safety code and the 2010 American Association of Neurology Guidelines. When revisions are needed, provide clear directions to complete documentation. Send acceptable brain death documentation to the RTS for verification per OneLegacy policy.
9. Perform Referral Intake Triage (RIT): answer calls for initial organ referrals, triage referrals, and chart in the EMR system with RTS to establish acuity.
10. Review the Not Brain Dead (NBD) status board when on site.
11. Conduct a site visit on NBD referrals and chart in the EMR system.
12. Identify the Authorizing Party (AP) and any language requirements. Remain vigilant and document family dynamics and other information needed for AP assessment or family approach.
13. Collaborate with the hospital care team and OneLegacy partners in goals‑of‑care discussions to ensure the AP is given an appropriate donation opportunity.
14. Work with OneLegacy Clinical Donor Management team members during donation to facilitate orders to bedside nurse or physician.

Referral Intake Triage (RIT) Detailed Tasks

• Coroner notification/release.
• Request initial blood sample be “on hold” for the coroner, perform height and weight verification, plasma dilution calculation, generate requisitions for serologies and HLA, label/pack and ship blood for HLA & serological testing while charting in EMR.

CME Screening (Medical Examiner Donation Specialist)

1. Collaborate with OneLegacy team members and key Medical Examiner and Coroner partners to provide real‑time referral support and assess effectiveness.
2. Build working relationships with Medical Examiner/Coroner/Sherriff staff.
3. Screen potential donors at Medical Examiner/Coroner facilities.
4. Gather information from coroner databases, medical records, and investigation reports.
5. Enter screening information into Electric Medical Records system.
6. Report referral to Family Care Center departments for approach.
7. Communicate with Eye Bank staff regarding autopsy scheduling.
8. Communicate in real time with various departments throughout the organization regarding organ and tissue donation.
9. Interview pathologist for COD and autopsy findings.
10. Coordinate with Coroner personnel on recovery time logistics for specimen collection, autopsy scheduling, request for photos/X‑rays, and other processing.
11. Perform physical exam of potential donors.
12. Perform specimen collection and request for specimen hold and release.
13. Obtain authorization to recover tissue donors for transplant/research within CME/Coroner jurisdiction.
14. Collect coroner post‑recovery follow‑up information such as autopsy report/COD/Investigation.
15. Conduct interviews with investigator or pathologist consult on recovered donors as requested.
16. Document referral information into EMR.

Donation Process Support (Hospital Partnerships)

1. Respond to hospital needs by completing referral evaluations, following up on existing referrals, and providing additional clinical support.
2. Function as internal and external resource for hospital donation programs and the donation process.
3. Maintain functional understanding of legal and clinical aspects of death by neurological criteria, donor after cardiac death, organ, eye and tissue recovery protocols, donor maintenance, transplantation, allocate and preservation.
4. Develop and implement effective communication pathways with internal and external stakeholders to streamline donation.
5. Identify educational opportunities within hospitals and physician groups and conduct education to meet or exceed CMS Conditions of Participation standards.

Other Responsibilities

1. Maintain competency through annual assessments outlined by the Medical Director of Referral Management.
2. Participate in scheduled staff meetings and/or conference calls.
3. Observe a code of ethics requiring truthfulness, honesty, and personal integrity; conduct professional life with dignity.
4. Perform other duties as assigned.
5. Maintain current ACLS/PALS certification.
6. Maintain EMR access and hospital accounts.

Job Qualifications and Requirements:

Education: EMT, Paramedic, LVN with critical care experience or prior relevant OPO experience preferred. Associate’s or Bachelor’s degree preferred. Knowledge of Microsoft and Android applications required.

Experience: Experience in the medical field, 911, and/or ICU experience preferred. Medical terminology preferred.

Certification/License: Basic Cardiac Life Support (BCLS), Advanced Cardiac Life Support (ACLS) and Pediatric Advanced Life Support (PALS) certifications required within 6 months of hire. OneLegacy requires current California driver’s license and vehicle insurance.
