Job summary

AOO | ENT Specialists of the Rockies is seeking an experienced Referral & Prior Authorization Coordinator to manage referrals, scheduling, prior authorizations, and surgical financial estimates for our specialty practice. The ideal candidate is highly organized, detail‑oriented, and comfortable working in a fast-paced medical office environment.

You will communicate with patients, referring providers, and insurance companies to ensure smooth operations.

Qualifications

• Prior experience working in a medical office is required.
• Prior experience with insurance prior authorizations is required.
• Experience with preparing surgical or procedure financial estimates is strongly preferred, but not required.
• Experience with Electronic Health Records (EHRs) is required.
• Excellent phone etiquette and communication skills.
• Strong organizational skills with exceptional attention to detail.

Responsibilities

• Manage all incoming referrals from primary care physicians and other specialty practices.
• Review referrals and medical records for completeness and ensure patients are scheduled appropriately.
• Schedule appointments for seven physicians, three PAs, one NP, and five audiologists.
• Obtain and coordinate insurance prior authorizations for diagnostic testing, procedures, and surgical services.
• Verify insurance benefits and coverage requirements as needed.
• Communicate with insurance companies regarding authorization requirements, benefits and coverage.
• Prepare and coordinate financial estimates for patients undergoing surgery, including reviewing benefits, deductibles, coinsurance and patient responsibility.
• Communicate financial estimates and insurance information clearly and professionally to patients.
• Maintain accurate referral, authorization, and patient financial information in the EHR.
• Perform general clerical duties including faxing, scanning, printing, data entry, and scheduling.
• Provide excellent customer service to patients and referring providers.
• Other administrative duties as assigned.
