Job Description:

The Division of Workforce Development is currently seeking to fill a full-time position of Recruitment & Retention Coordinator. The Coordinator will represent the Division and STCC both on and off-campus, to prospective students, parents, community agencies, and a variety of other individuals or organizations. This individual will be responsible for attending various recruitment events, organizing and conducting information sessions, meeting one-on-one with potential students, providing information regarding workforce training opportunities, fostering relationships, guiding and supporting students enrolling into the various programs, and ensuring program enrollment targets are met. The Coordinator will warmly receive and greet community members on campus (in person, over the phone, via email) and respond to inquiries on a timely basis The Coordinator will orient students to programs in line with career and educational goals and support them through the intake process.

The Coordinator must have an understanding of and commitment to the mission of supporting students and transforming lives. Candidates must be very comfortable working with ethnically diverse populations. Candidates who are bilingual in Spanish / English are strongly preferred. Has experience making enthusiastic public group presentations. The ability to work flexible and/or extended hours including weekends is required. Individuals who are team-oriented, energetic, focused on details, data-driven, have strong organizational skills, and are comfortable in a fast-paced environment that places a high premium on customer service are desired.

Reports to: Director of Recruitment, Retention, & Transition

RESPONSIBILITIES:

  • Supports students in identifying interests, needs, short- and long-term goals and alignment to workforce training, college, and career pathways to ensure participants appropriately enroll.
  • Develops outreach and recruitment plans with program staff and referral agencies.
  • Collaborates with the marketing department to promote programs by preparing and providing informational brochures; writing and placing advertisements; delivering flyers.
  • Works with other staff to recruit, screen and support candidates for the programs.
  • Conducts information sessions, orientation sessions, assessment sessions, attends and/or hosts recruitment events.
  • Builds and maintains close relationships with community organizations to promote the program and increase enrollment.
  • Practices consistent outreach to community-based organizations to provide updated, real-time information about the training programs.
  • Creates and maintains a shared stakeholders list to be used for recruitment and outreach.
  • Works effectively as part of a team involving multiple agencies and businesses.
  • Creates a welcoming, positive environment for diverse students, staff, and community members through reception area coverage of the Workforce Development Center.
  • Explains enrollment criteria to prospective students and community organizations or agencies.
  • Guides students through the enrollment process including, but not limited to: application, assessment, orientation, STCC email setup, prep week, introductory instructor/advisor meetings.
  • Refers students to other programs or services as needed.
  • Builds a variety of cumulative tracking and reporting systems of data for review including but not limited to: intake, waitlist, class enrollment, demographics, etc in compliance with program needs, database and policy changes.
  • Provides timely contact and follow up with students throughout the enrollment process to make sure they successfully complete each step and attend core classes during the first week.
  • Answers questions, follows up with phone calls, and responds to emails in a timely manner.
  • Provides regular communication of students' enrollment progress: completed applications, assessments, scores and levels for class enrollment, class schedules, orientation, diplomas and transcripts, attendance documentation, and other information as needed.
  • Understands, maintains and improves guidelines by writing, updating, and recommending changes to recruitment criteria, policies, and procedures.
  • Creates and maintains a waitlist using multiple data systems, performs data entry with waitlist students, and follows up with waitlisted students periodically to support their enrollment needs.
  • Conducts exit interviews and follow-up calls to track post-secondary and employment opportunities and provide support to students as needed.
  • Resolves student dissatisfaction by investigating concerns; recommending changes in services, policies, and procedures.
  • Collects, inputs, analyzes, summarizes, and reports student enrollment data and trends.
  • Follows policies, procedures, and regulations.
  • Keeps equipment operating by following operating instructions; calling for repairs as needed.
  • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks.
  • Keeps information confidential.
  • Protects and enhances organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  • Supports coordination of part-time recruitment and retention specialists.
  • Other related duties as assigned by the direct supervisor.
Requirements:
  • Bachelor's Degree preferred, or an equivalent combination of training, education, and experience (involving student recruitment & retention, Adult Education, and/or counseling/advisement).
  • Must have a valid driver's license and be willing to travel within the Greater Springfield area.
  • Proficient use of modern office practices, procedures, equipment, computer applications, including Microsoft Office, Google Workspace applications, and project management tools.
  • Experience working with Student Information Systems and Data Management Systems.
  • Ability to work in a fast-paced environment with a high work output rate, multitask, keep the work well organized, and actively listen.
  • Demonstrated ability to track, analyze and assess data for reporting purposes.
  • Possess strong ties and connections to Springfield and surrounding area organizations.
  • Excellent verbal and written communication skills (Bilingual in English/Spanish preferred).
  • Good interpersonal skills using tact, patience and courtesy.
  • High energy team player who contributes to creating a safe & welcoming learning and working environment.
  • Experience working with culturally diverse groups, preferable in an academic setting.

Additional Information:

Salary: $60,000 - $63,000 annually, salary commensurate with experience and according to Collective Bargaining Agreement (CBA).

Work Schedule: Full time. 37.5 hours per week (Monday- Friday). This in-person position requires evening and/or weekend support services on and off campus events in the region and Commonwealth, and flexibility to work hours as needed to perform the tasks associated with the position. Occasional required travel on behalf of the College.
