Job summary

OpenAI is seeking a Recruiting Coordinator to join our San Francisco team, handling scheduling and logistics for the Recruiting organization and ensuring a standout candidate experience. You will partner with recruiters, sourcers, interviewers, and hiring managers, coordinating interviews and travel while maintaining confidentiality and professionalism.

The role is non-exempt, hourly with a 40-hour week and potential overtime, and based in our SF office with a hybrid model (3 days in-office,

Qualifications

  • 5+ years of recruiting coordination experience, with scaling and process improvements.
  • Skilled with Google Calendar, Guide, Ashby, Slack, and Notion; able to handle high-volume tasks.
  • Strong communication and interpersonal skills, especially with senior candidates and stakeholders.
  • Highly organized, detail-oriented, and adaptable to changing demands.
  • Collaborative mindset with discretion when working with executive level candidates.

Responsibilities

  • Take ownership of end-to-end scheduling for evergreen and opportunistic hiring.
  • Partner with recruiting ops to solve issues using data, tools, and collaboration.
  • Greet candidates onsite and provide a welcoming interview experience.
  • Serve as the primary scheduling and interview planner for recruiters and hiring managers.
  • Utilize Ashby, Guide, Google Suite and other tools to maintain timely, positive hiring processes.
  • Problem solve and adapt to changing environments while maintaining confidentiality.
  • Communicate clearly and professionally with candidates and hiring partners.
  • Manage candidate reimbursement and travel (domestic and international).
  • Support the Executive Operations team to improve candidate experience for senior/executive levels.

We’re seeking a Recruiting Coordinator to join our team, focusing on the logistics and coordination of recruiting efforts for the Recruiting organization. This role will involve close collaboration with recruiters, sourcers, interviewers and hiring managers, ensuring operational excellence and a standout candidate experience. You will primarily be responsible for scheduling interviews, managing the logistics of onsite interviews, streamlining processes, and scaling programs. This role is a non-exempt, hourly position based on a 40-hour work week with potential for overtime earnings.

About the Role
  • Take ownership of the scheduling process, end to end, for evergreen and opportunistic hiring needs.
  • Act as a partner for recruiting ops problems and help us find solutions through a mix of data, tools, and collaboration.
  • Greet candidates onsite in the office to provide a welcoming interview experience.
  • Be the primary scheduling and interview planner for various Recruiters and Hiring Managers across technical teams.
  • Use our tools like Ashby, Guide, ChatGPT, G-Suite, and others to uphold a timely and positive hiring experience and process.
  • Have the ability to problem solve and adapt to an ever-changing environment while maintaining confidentiality and discretion.
  • Manage clear, concise, timely, and professional communication with candidates and hiring partners in written and verbal form.
  • Handle candidate reimbursement & travel (domestic and international).
  • Work with our Executive Operations team to support and improve candidate experience and management of senior and executive level candidates.
Qualifications:
  • 5+ years of recruiting coordination experience, including experience scaling processes and driving operational improvements across teams.
  • Are highly skilled in tools like Google Calendar, Guide, Ashby, Slack, and Notion with demonstrated ability to handle high-volume tasks efficiently.
  • Exhibit strong communication and interpersonal skills, especially when dealing with senior level candidates and stakeholders.
  • Are highly organized and able to prioritize tasks while adapting to changing demands.
  • Are detail-oriented and proactive in addressing challenges.
  • Possess a collaborative mindset and a willingness to enhance coordination processes.
  • Use discretion when working with senior and executive level candidates.
Preferred Qualifications:
  • Broader knowledge of AI or technology trends to engage candidates effectively.
  • Advanced technical knowledge of tools used for process automation or optimization in recruiting.
  • Familiarity with interviewer training logistics, feedback workflows, or recruiting ops tooling.
  • A process improvement mindset — you’ve contributed to better systems, documentation, or team operations.
Location & Workplace

This role is based in our SanFrancisco office and we aren’t considering remote applications at this time. We offer relocation support to new employees, and we use a hybrid work model: three days in the office per week with optional work from home on Thursdays and Fridays.

Our open-plan offices have height-adjustable desks, conference rooms, phone booths, well-stocked kitchens full of snacks and drinks, three in‑house prepared meals daily, a private outdoor space for working in the sun or socializing, nap rooms, private bike storage, and more.
