Job summary

Theron Solutions in New York, NY is seeking a Recruiting Associate with 1-3 years of experience to join the People team as the operational backbone of a fast-scaling AI company. You'll coordinate candidates across internal recruiters and external search firms, manage the in-office experience, and help build recruiting infrastructure from scratch at a Series B company used by over 1M developers.

Your role involves driving Ashby ATS adoption, screening inbound candidates, and ensuring a smooth

Qualifications

• Experience in fast-scaling startups or small companies with minimal infrastructure.
• Based in New York City and able to work on-site 5 days per week.

Responsibilities

• Coordinate all candidates in process across internal recruiters and external search firms, ensuring tracking in Ashby.
• Drive adoption and usage of Ashby as the ATS, log feedback, enter candidates, document next steps.
• Cover inbound candidate pipelines across multiple roles, screen and pass qualified candidates to recruiters and hiring managers.
• Manage in-office candidate experience when interviewees visit the NYC office (greeting, logistics, hospitality).
• Handle light office coordination tasks—snack orders, maintenance issues, greeting new hires on day one.

You'll be a driven, organised generalist who thrives in chaos, keeps candidates moving through the pipeline, and ensures nothing falls through the cracks — all while helping build recruiting infrastructure from scratch at a Series B company used by over 1M developers.

What will you be doing?

• Coordinating all candidates in process across internal recruiters and external search firms — ensuring everything is tracked and updated in Ashby
• Driving adoption and usage of Ashby as the ATS: getting feedback logged, candidates entered, and next steps documented
• Covering inbound candidate pipelines across multiple roles — screening and passing along qualified candidates to recruiters and hiring managers
• Managing the in-office candidate experience when interviewees visit the NYC office (greeting, logistics, hospitality)
• Handling light office coordination responsibilities — snack orders, maintenance issues, greeting new hires on day one

Key Requirements

• Exceptionally organised — able to manage many concurrent searches and coordination tasks without dropping balls
• Outgoing and professional — comfortable interfacing with candidates, executives, and external partners with a hospitality-like demeanour.
• Experience at a fast-scaling startup or small company where you operated with minimal infrastructure and direction.
• High discretion and professionalism around confidential information (comp data, interview feedback, candidate details)
• Based in New York City and able to work on-site 5 days per week
