Job description

Assist primarily with the planning and execution of City special events, both in the office and on event days. Work is performed under the general supervision of the Events & Resource Manager and Recreation Manager.

Event Duties
  • Help create site maps, timelines, checklists, and other event planning documents.
  • Email and coordinate with vendors and entertainers.
  • Research vendors, entertainment, activities, rentals, and other event-related services.
  • Organize and prepare event materials.
  • Create signage and marketing materials using Canva.
  • Assist with event-day setup and preparation.
  • Coordinate vendor check-in and placement.
  • Assist with event operations and troubleshooting throughout the event.
  • Assist with event breakdown and cleanup.
  • Maintain spreadsheets, contact lists, vendor information, and other event documentation.
  • Complete other tasks as required.
  • Ability to understand and follow written departmental policies and procedures.
  • Ability to establish and maintain effective working relationships with city officials, participants, interested groups, and the general public.
  • Strong oral and written communication skills.
  • Ability to work independently.
  • Strong organizational skills and attention to detail.
  • Dependable and responsible.

Education and Experience

High School diploma or equivalent. Prior experience in event planning, project management, etc.

The physical activity of this position includes

Climbing: Ascending or descending ladders, stairs, scaffolding, ramps, poles, and the like, using feet and legs and/or hands and arms. Body agility in emphasized. This factor is important if the amount and kind of claiming required exceeds that required for ordinary locomotion.

Pulling: Using upper extremities to exert force in order to draw, drag, haul or tug objects in a sustained motion.

Lifting: Raising objects from a lower to a higher position or moving objects horizontally from position to position. This factor is important if it occurs to a considerable degree and requires the substantial use of upper extremities and back muscles.

Fingering: Picking, pinching, typing or otherwise working, primarily with fingers rather than with the whole hand or arm as in handling.

Grasping: Applying pressure to an object with the fingers and palm.

Talking: Expressing or exchanging ideas by means of the spoken word. Those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly or quickly.

Hearing: Perceiving the nature of sounds at normal spoken word levels with or without correction. Ability to receive detailed information through oral communication, and to make fine discriminations in sound, such as when making fine adjustments on machined parts.

The physical requirements of this position
