Job summary

The NYC Department of Finance is seeking a highly organized Records Coordinator (Principal Administrative Associate) to support warehouse operations and records management. You will manage physical and electronic records, maintain inventory, and ensure secure storage while providing efficient records services across agency divisions.

Responsibilities include scanning, archiving, retrieval, and distribution, with backup duties for print and document distribution.

Qualifications

  • Minimum 2 years clerical/administrative experience with supervision preferred.
  • Experience with records management, warehouse operations, and document control.
  • Proficiency in Microsoft Excel and standard office tools.

Responsibilities

  • Receive, organize, and store incoming records and archive boxes.
  • Maintain an accurate records inventory in the Records Management System.
  • Research, locate, retrieve, and prepare records for agency requests.
  • Prepare work orders for record retrievals and deliveries.
  • Generate barcode labels for archived records and boxes.
  • Monitor retention schedules and identify destruction candidates.
  • Prepare records for secure destruction and shredding coordination.
  • Maintain filing systems for travel logs and administrative files.
  • Support print shop operations as needed.
