Job summary

Jobtailor is seeking a senior Records Management Leader to oversee the day-to-day operation and continuous improvement of the firm’s records program. You will supervise Records Department staff across multiple offices and ensure timely, accurate work within service levels.

Responsibilities include policy development, vendor management, and cross-department collaboration, with travel to firm offices as needed. A strong background in information governance and a CRM/IGP/CIP is preferred.

Qualifications

  • 3+ years of progressively responsible records management or information governance experience
  • Experience in a large law firm or complex professional-services environment preferred
  • At least 2 years of direct personnel supervision or management experience
  • Thorough knowledge of physical/electronic records, retention schedules, defensible disposition, legal holds, confidentiality
  • Experience with enterprise records management systems and NetDocuments is preferred
  • Strong leadership, project management, and communication skills
  • Bachelor's degree or equivalent; CRM/IGP/CIP preferred

Job description

  • Manage the day-to-day operation and continuous improvement of the Firm’s records management program
  • Supervise, coach, train, and evaluate Records Department personnel across assigned offices and functions
  • Ensure records functions are staffed, prioritized, accurate, and completed within service levels and deadlines
  • Coordinate staffing and resources for multi-office and cross-department projects
  • Oversee creation, classification, indexing, retrieval, circulation, storage, transfer, archival, retention, and disposition of physical and electronic records
  • Oversee client file transfers and matter mobility activities for incoming and departing lawyers and clients
  • Administer retention, defensible disposition, legal holds, and preservation processes
  • Coordinate file rooms, off-site inventories, box management, scanning/digitization, secure destruction, and space reduction initiatives
  • Draft, maintain, implement, and operationalize records management and information governance policies, standards, schedules, procedures, controls, and workflows
  • Monitor compliance with records policies, legal holds, client requirements, confidentiality obligations, and applicable legal or regulatory requirements
  • Provide guidance and training to attorneys and business professionals
  • Serve as operational owner and subject-matter resource for records management systems and related technologies
  • Maintain and audit records metadata, classifications, locations, retention attributes, and system information
  • Partner with Information Technology on system integrations, upgrades, migrations, enhancements, automation, and new technologies
  • Develop metrics, dashboards, exception reports, and management reporting
  • Manage records-related vendors, contracts, service quality, security, invoices, budgets, and expenses
  • Plan and manage records projects with defined scope, schedules, quality controls, reporting, and completion criteria
  • Liaise with Information Technology, Information Security, General Counsel, Finance, Human Resources, Office Administration, Practice Management, and other departments
  • Participate in committees, working groups, audits, client information-governance reviews, and special projects
  • Travel periodically to Firm offices and provide operational coverage or hands‑on assistance as needed
  • Report directly to the Director of Conflicts and Records
Requirements
  • Three (3) or more years of progressively responsible records management or information governance experience
  • Preferably experience in a large law firm or other complex professional-services environment
  • At least two (2) years of direct personnel supervision, team leadership, or comparable management experience
  • Thorough working knowledge of physical and electronic records, retention schedules, defensible disposition, legal holds, client file transfers, lawyer mobility, confidentiality, and records-related risk controls
  • Demonstrated experience with enterprise records management systems and document management systems
  • Experience with platforms such as NetDocuments and integrated records-management technologies is strongly preferred
  • Experience managing multi-office projects, vendors, operational budgets or expenses, metrics, and process‑improvement initiatives
  • Working knowledge of information governance, data privacy, information security, eDiscovery/preservation, and professional‑responsibility considerations is preferred
  • Strong people‑management, resource‑management, organizational, and project‑management skills
  • Strong analytical and problem‑solving skills
  • Excellent written and oral communication skills
  • Strong service orientation and interpersonal skills
  • High degree of accuracy and attention to detail
  • Ability to use reporting and productivity tools and learn innovative technology, automation, and data‑analysis capabilities
  • Bachelor’s degree in information management, records management, library/information science, business, or a related field is preferred; substantial directly relevant professional experience may be considered in lieu of a degree
  • Professional certification such as CRM, IGP, CIP, or comparable credential is preferred
  • Ability to work at a computer and periodically move within file rooms or storage areas
  • Ability to lift, move, or position records containers weighing up to approximately thirty (30) pounds, with assistance or material‑handling equipment when appropriate
