Job summary

  • One year of clerical experience with legal instruments and records or two years of general clerical experience or any equivalent combination of experience and training.

  • Familiarity with regulations, rules, laws governing recording and indexing of legal documents.

Responsibilities

  • Check legal documents for recordability and fees.
  • Receipts and indexes documents, including court papers.
  • Process UCC filings, passport applications, pistol permits, Notary Oaths and related work.
  • Prepare daily deposits and payroll/personnel reports; maintain billing and reports.
  • Answer telephone inquiries and assist the public with information.

Job description

THIS POSITION IS PART OF THE NYS CIVIL SERVICE HELP PROGRAM WHICH DOES NOT REQUIRE A WRITTEN EXAMINATION AT THIS TIME.

This position involves responsibility for reviewing, receipting, indexing, verifying and mailing back of various legal documents filed and recorded in the office. Employees in this position are expected to independently perform their duties within the scope of specific laws, office rules and procedures relating to the recording, filing and indexing of legal instruments. Supervisors are available for consultation on unusual problems and provide instruction on new or difficult assignments. Work of employees is generally checked by steps in the workflow process.

  • Checks legal documents for recordability.
  • Checks fees.
  • Conducts routine correspondence.
  • Receipts and indexes documents, including court papers.
  • Scans documents.
  • Verifies documents.
  • Mails recorded documents back.
  • Reconciles money that is receipted.
  • Prepares daily deposit.
  • Conducts searches or assists public in searching for documents or data.
  • Answers the telephone and questions relating to the office and other general information.
  • May operate and perform routine maintenance on computers, adding machines, typewriters, microfilm machines, scanners, copiers, mailing machine and other office machines.
  • Order supplies under supervision of Deputy County Clerk and or County Clerk.
  • Maintain billing for searches, copies, faxes, etc.
  • Pay departmental bills and run related reports.
  • Process UCC filings.
  • Process passport applications.
  • Process pistol permits.
  • Process Notary Public oaths on originals and renewals and related work.
  • Prepare and distribute reports for other county departments or State departments.
  • Prepare payroll and personnel reports and related work.
  • Serve as office manager during the lunch hour.

Ability to readily acquire a working knowledge of the familiarity with pertinent regulations, rules, laws and policies governing the examination, receipting, recording and indexing of legal documents filed or recorded in the office of the County Clerk; working knowledge of office terminology, procedures and equipment; working knowledge of business arithmetic and English; ability to understand and follow oral and written instructions; ability to deal effectively with the public; ability to write legibly; clerical aptitude; accuracy; neatness; tact and courtesy; physical condition commensurate with the demands of the position

MINIMUM QUALIFICATIONS
  1. One year of clerical experience working with legal instruments and records in a department of municipal government, law office or title company; OR
  2. Two years of general clerical experience; OR
  3. Any equivalent combination of experience and training.
