Wingstop in Dallas seeks a Receptionist & Workplace Coordinator to be the first point of contact for visitors, clients, and staff at the GSC. You will manage the reception desk, coordinate calendars and rooms, handle deliveries and supplies, and support culture and engagement events with a friendly, brand-focused demeanor.

The Receptionist & Workplace Coordinator is the first point of contact for visitors, clients, and team members at Wingstop’s GSC, ensuring a warm, welcoming, and professional front-of-house experience. The role manages the reception desk, coordinates administrative and workplace operations (calendars/rooms, deliveries, supplies, vendors), and supports culture and engagement events—providing exceptional service to guests and internal teams. The ideal candidate demonstrates strong communication skills, a polished and dependable demeanor, and the ability to prioritize and multitask effectively in a fast-paced environment while modeling The Wingstop Way.
On-site coverage required, Monday–Friday: 8:00 AM – 5:00 PM (1-hour lunch)
Flexibility for pre-approved needs when coverage is arranged
Visitors: Acknowledge within 30 seconds; host notified immediately
Packages: Recipient notified within 15 minutes; target ≥95% same-day pickup
Readiness: AM reception checklist by 8:15 AM; weekly audit EOD Friday

Microsoft Outlook, Excel, Word; Microsoft Teams/Zoom; FedEx/UPS/USPS shipping portals; visitor management (e.g., Envoy); printer/copier/scanner fleet; basic A/V room controls; ticketing platform (Jira) and Teams channels for escalations/updates.
Welcome guests warmly; manage check-in, issue badges, maintain accurate logs, coordinate with building security, notify hosts immediately, and keep reception clean and on-brand.
Collect and sort inbound mail/packages each morning, notify recipients via Teams or email, expedite food-delivery pickup, prepare/process FedEx/UPS/USPS shipments, maintain a log for high-value/time-sensitive items, and keep the mailroom stocked and organized.
Schedule and confirm rooms, provide visitor instructions (parking, check-in, floor access), support in-office meetings and culture/engagement events (refreshments, supplies, signage, basic A/V), and coordinate guest lists, invitations, and day‑of logistics.
Pre-clear access with Security/Property Management, arrange parking/wayfinding/refreshments and a discreet holding area, meet and escort on arrival, keep hosts updated, ensure room readiness (A/V, materials, signage), and manage a smooth departure with badge recovery and follow-ups.
Monitor snacks/office supplies and compile weekly reorders for approval; complete a morning walkthrough of reception, supply areas, mailroom, and concierge; oversee delivery intake and timely distribution; elevate recurring carrier issues; and open tickets for any facility issues identified.
Handle copying,
scanning, faxing, filing (digital/physical), data entry, and transcription; maintain simple weekly metrics (visitor count, package volume, pickup SLA, supply restocks).
Liaise across departments, monitor shared inboxes/Teams channels and route requests, coordinate cross-team logistics (guest lists, invitations, access, wayfinding), partner with Security/Property Management on access and safety communications, and send internal messages as requested by leadership.
Log issues in the ticketing system with location/impact/photos, notify the Workplace Operations Manager for urgent items, track tickets to closure with daily follow-ups and escalations, and follow building procedures for emergencies or after-hours incidents.
Reconcile supply inventory and submit reorders; send new-hire forms to Property Management and prep day‑one desk/wayfinding items; confirm upcoming meetings and VIP visits; complete the weekly reception audit (readiness, signage, supplies, lighting); perform badge/visitor access reconciliation and report exceptions; and provide a brief facilities ticket aging summary to the Workplace Operations Manager.
