Receptionist & Administrative Support
SCHEDULED DAYS/HOURS: Monday-Friday, 8am-5pm
REPORTS TO: Director of People & Culture
SALARY: Based on Experience
GENERAL SUMMARY: Provide exceptional hospitality while serving as the first point of contact for all visitors, ensuring each guest feels welcomed and valued. Uphold the professional presentation of the space, creating a warm and refined environment. Leverage strong attention to detail, organizational excellence, and proactive support to ensure the space consistently reflects CROSS's mission: Enriching quality of life through lifelong relationships with raving fans.
RESPONSIBILITIES:
- RECEPTIONISTDUTIES
- Serve as the welcoming face of CROSS, providing a warm and professional first impression in alignment with our mission and values.
- Greet clients and visitors with genuine hospitality, ensuring they feel comfortable and valued from the moment they arrive.
- Offer refreshments and maintain a polished, inviting environment in all common areas and meeting spaces.
- Guide guests to the appropriate team members or departments, facilitating smooth transitions and minimizing wait times.
- Proactively prepare client-facing spaces, ensuring they are clean, fully stocked, and ready for use at all times.
- Act as a communication bridge between clients and internal teams, supporting seamless coordination of meetings and services in coordination with Client and Staff Relations.
- Confirm details and anticipate client needs before all scheduled onsite meetings.
- Effectively manage and prioritize multiple responsibilities to support the overall efficiency of operations.
- ADMINISTRATIVE SUPPORT DUTIES
- Professionally manage incoming phone calls, directing inquiries and messages with efficiency and courtesy.
- Receive, organize, and distribute mail and deliveries in a timely and accurate manner.
- Monitor office and kitchen supply levels, partnering with the Client & Staff Relations role to maintain appropriate inventory and stay within budget.
- Provide reliable administrative support to the leadership team, including managing client records, updating internal databases, and maintaining strict confidentiality of sensitive information

- Prepare and reset all common areas and meeting spaces before and after client visits to maintain a clean, professional, and welcoming environment.
- Monitor and replenish office and kitchen supplies to ensure stock levels remain at or above 50% at all times.
