Position Summary
The Receptionist / Accounting Clerk provides front-office, administrative, and accounting support to help ensure the daily operations of the dealership run smoothly. This position serves as a primary point of contact for customers and assists the accounting department with a variety of clerical and transactional responsibilities.
Because dealership needs and workloads may vary, this position requires flexibility, strong teamwork, and a willingness to cross-train in multiple office functions.
Primary Responsibilities
- Answer incoming telephone calls in a professional and courteous manner and direct calls to the appropriate department or employee.
- Greet customers and visitors and assist or direct them as needed.
- Maintain a professional, organized, and welcoming reception/front-office area.
- Prepare and organize the daily bank deposit, including verifying supporting documentation and ensuring accuracy.
- Provide backup coverage for the cashier position as needed.
- Receive and process customer payments when providing cashier coverage.
- Assist the accounting department with routine clerical and administrative tasks.
- Perform data entry, filing, scanning, copying, document organization, and record maintenance.
- Assist with processing, organizing, and verifying dealership paperwork.
- Cross-train in various accounting and office functions to provide coverage during employee absences, vacations, high-volume periods, or other operational needs.
- Assist other departments with administrative or clerical responsibilities when appropriate.
- Maintain confidentiality of customer, employee, and dealership financial information.
- Follow established dealership accounting procedures, internal controls, and company policies.
- Communicate professionally with customers, vendors, coworkers, managers, and ownership.
- Identify discrepancies or concerns and communicate them to the appropriate manager.
- Perform other related administrative, accounting, cashier, and clerical duties as assigned.

- Basic accounting, bookkeeping, or office experience preferred.
- Comfortable working with computers, office equipment, and business software.

- Ability to handle cash, checks, credit card transactions, and financial information responsibly.

Position Expectations
The Receptionist / Accounting Clerk is expected to provide dependable support wherever needed within the front office and accounting department. Specific responsibilities may fluctuate based on staffing, workload, employee absences, business volume, and operational needs.
Cross-training is an important part of this position. Employees may be trained in additional office and accounting functions so that essential responsibilities can continue to be completed when another team member is unavailable.
