POSITION SUMMARY:

Saturday Receptionist (Admissions Department)

Part-Time Position Schedule: Saturdays Only, 9:30 AM - 2:30 PM (5 Hours)

Position Overview

The Saturday Receptionist supports the Admissions Department by providing professional front-desk coverage, assisting consumers upon arrival, answering and directing incoming calls, and ensuring consumer records and required documentation are current and complete. This position serves as the first point of contact for consumers and visitors and plays a key role in supporting admissions operations.

This is an excellent part-time opportunity for an individual with experience in Mental Health Rehabilitation Services (MHRS) or behavioral health services in Washington, DC.

Qualifications

9:30 AM - Opening Duties
  • Arrive and prepare reception area for consumers and visitors.
  • Log into phone systems, email, and electronic health record systems.
  • Review scheduled appointments and admissions for the day.
  • Ensure consumer sign-in sheets and intake materials are available.
Consumer Check-In Process
  • Greet consumers and visitors professionally.
  • Verify appointment information.
  • Check consumers into the system.
  • Confirm identity and demographic information.
  • Review required documentation for completeness and expiration dates.
  • Notify appropriate staff member of consumer arrival.
  • Direct consumers to the appropriate department or clinician.
Documentation Review
  • Verify that required documents are current and complete, including:
    • Identification
    • Insurance information
    • Consent forms
    • Intake paperwork
    • Releases of Information (ROI)
    • Other required agency forms
  • Notify consumers of any missing or expired documents.
  • Coordinate with appropriate staff to obtain updated documentation.
Telephone Responsibilities
  • Answer incoming calls professionally and courteously.
  • Route calls to the appropriate department or staff member.
  • Take accurate messages when necessary.
  • Provide general information regarding services, office hours, and admissions procedures.
  • Escalate urgent consumer concerns to supervisory staff.
Admissions Support
  • Assist with consumer intake preparation.
  • Support Admissions staff with administrative tasks.
  • Organize and file admissions documentation.
  • Scan and upload documents into electronic records.
  • Ensure records are complete and properly maintained.
Additional Duties
  • Complete document-related projects assigned by the Admissions Director.
  • Assist with data entry and record maintenance.
  • Support special admissions initiatives as needed.
  • Help maintain an organized and professional reception area.
  • Perform other administrative duties as assigned by the Admissions Director.
2:00 PM - 2:30 PM Closing Duties
  • Ensure all consumers have been properly checked in and served.
  • Complete documentation and filing tasks.
  • Forward any unresolved issues to appropriate staff.
  • Organize reception area.
  • Secure confidential information and log out of all systems.
Reporting Structure

This position reports directly to the Admissions Director and operates under the Admissions Department.
