Job summary

Company 3 is seeking a Receptionist to greet guests and employees, check them in, and direct them to the correct areas at our Hollywood studio. This on-site role will also answer calls, manage scheduling, and support badge access and daily office operations.

The ideal candidate will be organized, customer-focused, and able to work in a fast-paced environment, with strong English communication and multi-tasking abilities. Overtime and variable shifts may be required to meet business needs.

Responsibilities

  • Greet clients and employees and direct them to appropriate staff.

  • Prepare daily session and incident reports and maintain office records.
  • Assist HR and security audits and manage office logistics.

Position: Receptionist

Location: Hollywood, CA (On-Site)

*Pay Range: $20.00 USD hourly

POSITION SUMMARY:

The Receptionistis responsible forgreeting guestsuponentry andchecking themin totheir respective areas.They are the firstfacepeople see upon entering the buildings.The receptionistansweranddirectemployees in a polite and friendlymanner andmaintainstandard office equipment on a regular basis.

Location:This position will require working inourHollywood studio on a regular basis.

Hours:Available to workovertime andvariable shifts, includingearly mornings, late nights,weekendsand holidays, as necessary per business needs.

MAIN DUTIES:

The Receptionist will greet clients and employees,assistingthem throughout theirsession. They will answerincoming calls, direct calls to theappropriate staff, and answer general inquiries (telephone, e-mail, walk-in). They will work closely with our Scheduling department tomaintaincurrent production schedules. They will compose daily supervised and unsupervised session reports for the studio. They will assign and deactivatestudio access badges. They will order, update, andassistwith security audits forall offices, conferencerooms, and bays. They will createfacility tickets andenterstudio ticketing system. They will distributepaychecks,log,andmailunclaimed checks. Other duties include:

  • Conduct onsiteparking audits.
  • Conduct nightly securitybriefingwith onsite personaland review operation reports.
  • Communicate call times withClientServicesdepartment.
  • Liaison between employees and managementasneeded.
  • Create email distribution lists for show creations ordepartments.
  • Onboard new hires:Parking, badge ordering, inputcontactand picture in LDAP, confirming department and companyaliases.
  • Compose weekend and holiday session reports for the studio.
  • Draft studio wide memos.
  • Assist HR &ResourceManagementduring employee offboardprocessby collecting company equipment and access badges.
  • Train new team members.
  • Other tasksas needed.
WHAT YOU BRING:

The ideal candidate will be self-motivated with strong interpersonal communication skills and superior client service skills. They will have excellent organizational skills with proven attention to detail. They will have excellent written and verbal communication skills with a good command of the English language. They will have the ability to work in a fast-paced environment. The ideal candidate will also bring the following:

  • Resourcefulness and exceptional time management skills.
  • Havestrongknowledge ofthe MicrosoftOfficesoftware, including Word, Excel,PowerPointand Outlook.Excellent typing skills.
  • Canlift/carryboxesweighingup to 20 pounds.
  • Ability to multi-task, prioritize, and work under high pressure with shortdeadlines.
  • Demonstrated experience using a multi-line phone system.
  • Demonstratedexperienceediting and composing business communications (i.e., letters, notices, e-mails).
