Job summary

Miami Valley Community Action Partnership (MVCAP) is seeking a friendly, professional Receptionist to be the first point of contact for clients, visitors, vendors, and community partners at our Main Street office in Dayton.

The Receptionist will greet guests, answer calls, provide general program information, and assist with check-in while maintaining a welcoming lobby and organized records. This full-time, on-site role offers a Monday–Friday schedule and a pay of $18.00 per hour.

Qualifications

  • Must have strong customer service and written/spoken communication skills.
  • Experience in an office environment preferred.
  • Proficiency with Outlook, Word, Excel and basic office equipment.

Location: Dayton, Ohio - On-Site
Employment Type: Full-Time
Schedule: Monday-Friday, 8:00 a.m.-4:30 p.m.
Pay: $18.00 per hour
Annualized Pay: $37,440

Position Summary

Miami Valley Community Action Partnership (MVCAP) is seeking a friendly, professional, and customer-focused Receptionist to serve as the first point of contact for clients, visitors, vendors, and community partners at our Main Street office.

The Receptionist plays an important role in creating a positive first impression of MVCAP and ensuring individuals who contact or visit the Agency receive timely, respectful, and courteous assistance. Responsibilities include greeting and assisting visitors, answering and directing telephone calls, scheduling appointments, assisting with client check-in, providing general program information, and maintaining an organized and welcoming reception and lobby area.

The ideal candidate will have strong customer service and communication skills, be comfortable working in a busy office environment, and have the ability to remain professional and composed while assisting individuals with a variety of needs.

Key Responsibilities

Customer Service & Reception

  • Serve as the first point of contact for clients, visitors, vendors, and community partners.
  • Greet and assist visitors in a friendly, professional, and welcoming manner.
  • Provide general information regarding agency programs, services, office locations, and appointment procedures.
  • Answer, screen, and direct incoming telephone calls to the appropriate staff member or department.
  • Respond to routine and non-routine telephone inquiries from clients and appropriately direct questions requiring additional assistance.
  • Schedule, reschedule, and confirm client appointments using agency scheduling systems.
  • Assist clients with check-in procedures and notify appropriate staff of client arrivals.
  • Monitor lobby traffic and assist with maintaining an orderly and customer-friendly waiting area.
  • Address general client inquiries and connect individuals with appropriate staff or resources.
  • Provide professional and respectful customer service to individuals from diverse backgrounds and circumstances.

Administrative Support

  • Receive, sort, and distribute incoming mail and deliveries.
  • Maintain visitor logs, reception records, and other required front-office documentation.
  • Assist with preparing and distributing general agency information and materials.
  • Monitor reception-area office supplies and notify management when additional supplies are needed.
  • Provide general administrative and clerical support as assigned.

Lobby & Reception Area

  • Maintain a clean, organized, welcoming, and professional reception area and client waiting space throughout the workday.
  • Ensure brochures, applications, flyers, and other agency informational materials are organized, stocked, and readily available.
  • Maintain the appearance of chairs, tables, reading materials, and other public-use areas.
  • Regularly remove clutter and assist with keeping reception and lobby areas presentable.
  • Wipe down reception counters, tables, and other common-touch surfaces in accordance with agency cleanliness standards.
  • Monitor public areas for potential safety or maintenance concerns and promptly report issues to appropriate staff.
  • Help ensure the reception and lobby areas consistently present a positive image of MVCAP to clients, visitors, and community partners.
Qualifications

Required:

  • High School Diploma or General Equivalency Diploma (G.E.D.).
  • Minimum of one (1) year of customer service, receptionist, front desk, or administrative support experience.
  • Experience working in a professional office environment.
  • Strong verbal and written communication skills.
  • Strong customer service and interpersonal skills.
  • Basic computer skills and proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
  • Ability to operate standard office equipment, including multi-line telephone systems, computers, scanners, copiers, and printers.
