Job summary

Human Resources Assistant

Location: Dayton, Ohio – On-Site
Employment Type: Part-Time
Scheduled Hours: 25 Hours per Week / 50 Hours Bi-Weekly
Schedule: Monday–Friday, 10:30 a.m.–3:30 p.m.
Pay Range: $18.00–$22.00 per hour
Annualized Pay Range: $23,400–$28,600



Position Summary

Miami Valley Community Action Partnership (MVCAP) is seeking an organized, dependable, and detail-oriented Human Resources Assistant to provide administrative and operational support to the Human Resources Manager.


As part of a small Human Resources department, this position will assist with a variety of HR functions, including personnel recordkeeping, recruitment and interview coordination, new hire preboarding and orientation, benefits administration, employee requests, and payroll support.


The Human Resources Assistant will also serve as MVCAP's designated backup payroll administrator. Once appropriately trained, the individual must be prepared to complete payroll processing accurately and on schedule when needed.

Key Responsibilities


Human Resources Administration & Personnel Records


  • Provide administrative and operational support to the Human Resources Manager.

  • Maintain accurate, organized, secure, and confidential employee records and personnel files.

  • File, scan, upload, retrieve, and organize HR documentation within electronic and physical filing systems.

  • Review HR documents for completeness and follow up on missing forms, signatures, or information.

  • Enter and update employee information in HR systems, spreadsheets, databases, and tracking documents.

  • Assist with documentation related to new hires, transfers, promotions, compensation changes, leaves of absence, and employee separations.

  • Prepare routine HR correspondence, forms, reports, notices, and other documentation.

  • Assist with personnel file audits, recordkeeping reviews, and HR compliance activities.



Recruitment, Preboarding & Orientation


  • Assist throughout the recruitment, selection, preboarding, and orientation processes.

  • Prepare and post approved employment opportunities.

  • Organize applications and resumes and maintain recruitment tracking information.

  • Coordinate and schedule interviews with candidates, hiring managers, and interview panel members.

  • Prepare interview packets and other recruitment materials.

  • Participate as a member of interview panels when assigned.

  • Coordinate candidate communications and recruitment follow-up.

  • Assist with reference checks, background checks, drug screenings, and other pre-employment requirements.

  • Communicate with new hires regarding start dates, required paperwork, and onboarding requirements.

  • Prepare new-hire and orientation materials and assist the Human Resources Manager with new employee orientation.

  • Coordinate onboarding needs with appropriate departments, including system access, email accounts, equipment, identification badges, and keys.



Payroll Administration & Backup


  • Serve as MVCAP's designated backup payroll administrator.

  • Maintain sufficient knowledge of the payroll system, payroll calendar, procedures, and internal controls to provide reliable payroll backup.

  • Enter and verify approved timekeeping, leave, compensation, deductions, benefits, taxes, garnishments, and other payroll-related information.

  • Review payroll documentation for completeness and accuracy.

  • Follow up on missing information, approvals, and routine discrepancies.

  • Prepare payroll reports and supporting documentation for review and required approval.

  • Respond to routine payroll questions and refer complex matters to the Human Resources Manager or appropriate staff.

  • Maintain accurate, secure, and confidential payroll documentation.



Benefits Administration Support


  • Assist with employee benefit enrollment and routine benefit administration.

  • Provide eligible employees and new hires with benefit information, enrollment materials, forms, instructions, and applicable deadlines.

  • Assist with processing new-hire benefit enrollments, approved qualifying life events, and other routine benefit changes.

  • Track enrollment deadlines and follow up on missing documentation.

  • Assist with annual open enrollment planning, scheduling, communications, processing, and documentation.

  • Respond to routine benefit questions and refer complex eligibility or coverage matters to the appropriate resource.



General Employee & HR Support


  • Serve as an additional point of contact for routine HR administrative questions.

  • Provide employees with established forms, policies, benefit information, and available HR resources.

  • Receive and appropriately process or route employee requests and HR paperwork.

  • Complete routine employment verifications in accordance with established procedures.

  • Prepare and distribute HR communications, notices, and reminders.

  • Assist with HR calendars, meetings, employee activities, compliance interviews, projects, deadlines, spreadsheets, and tracking systems.

  • Interact professionally with employees, applicants, supervisors, managers, vendors, benefit providers, and external partners.

  • Recognize matters requiring management review, policy interpretation, or approval and refer them to the Human Resources Manager.

  • Perform other related duties as assigned.



Qualifications

Required:



  • High school diploma or GED.

  • Minimum of six (6) months of Human Resources or HR support experience.

  • Relevant experience may include recruitment, onboarding, benefits administration, payroll support, personnel recordkeeping, HR administration, or related Human Resources functions.

  • Experience handling confidential and sensitive employee or organizational information.

  • Experience using Microsoft Office applications, including Outlook, Word, and Excel.

  • Demonstrated ability to maintain accurate records, organize documentation, and manage multiple administrative responsibilities.

  • Ability to learn and effectively use HRIS, payroll, applicant tracking, benefit enrollment, and other HR-related systems.



Preferred Qualifications


  • Associate degree or coursework in Human Resources, Business Administration, Office Administration, or a related field.

  • One or more years of Human Resources or HR administrative support experience.

  • Previous experience supporting multiple HR functions, including recruitment, onboarding, benefits, payroll, and personnel recordkeeping.

  • Previous experience using an HRIS, payroll system, applicant tracking system, or benefit enrollment platform.
