Job Summary

The Reception Supervisor is responsible for the direction and coordination of all aspects of patient services including the check‑in process, accuracy of patient demographic/insurance information within the Epic Prelude/Resolute applications, maximizing point‑of‑service collections, and ensuring policies and procedures are adhered to and kept current. The supervisor manages, evaluates, coaches, and motivates staff, ensuring employees receive adequate and ongoing training. They keep abreast of all industry standards in relation to insurance coverages, work with third‑party vendors to resolve system issues, and assist with the implementation of upgrades such as Epic, credit card terminals, and real‑time eligibility (RTE). They also oversee new initiatives to improve patient satisfaction and increase efficiencies within the department.

Responsibilities
  • Open/close the department in accordance with safety, cash bag, petty cash, and reporting policies, and deposit cash for the Accounting Department.
  • Distribute and collect cash bags to all reception staff.
  • Ensure all reception desks are staffed during hours of operation, prepare weekly schedules and daily break/lunch coverage as needed.
  • Perform rounds of the reception desks multiple times per day to verify compliance with policy and procedure.
  • Handle daily time‑clock functions and PTO requests to maintain adequate coverage.
  • Complete all annual reviews for the department in a timely fashion.
  • Update current and develop new policies and procedures for the department.
  • Work with Accounting and third‑party vendors, such as credit card and RTE vendors, to resolve issues for the Reception and Business Office teams.
  • Ensure Pre‑Registration is completed in advance of upcoming appointments.
  • Manage reception work queues, address errors from improper check‑in, and re‑educate staff to maintain certification and training effectiveness; assist Business Office staff with registration errors that result in claim denials.
  • Receive registration error reports from LabCorp for initial billing files and provide correct insurance information.
  • Stay current on all insurance updates/bulletins, provide education to reception staff, conduct monthly meetings, and attend Business Office meetings as requested.
  • Submit initial Medicaid ePACES enrollment forms and all annual provider recertifications (Physician, NP, PA, PT, LCSW, etc.) to avoid lapses in active status within the ePACES system that could negatively impact AR.
  • Report on front desk payments (co‑pays, on‑account balances, etc.) with weekly, monthly, and yearly reports; develop and implement processes for increasing front desk payments.
  • Participate in all system conversions and identify/oversee key staff to support implementation of new workflows.
  • Communicate with Physicians and Department Heads regarding any issues involving the Reception Team.
  • Perform all other duties as assigned.
  • May be exposed to hazardous drugs.
  • Attend OSHA training upon initial orientation and annually complete OSHA competency.
Requirements

Graduated from high school or completed GED requirements. Supervisory experience preferred. EMR and insurance knowledge preferred. Skilled in Microsoft products including Word and Excel.

Physical Requirements

Requires sitting, standing, bending, and reaching. May require lifting up to 20 pounds. Requires manual dexterity sufficient to operate standard office equipment such as computer, fax, calculator, and telephone. Requires normal hearing and vision.
