Position Summary

Calabro Companies is seeking an Office/Administrative Manager who enjoys taking on a broad range of operational responsibilities across our entire portfolio, with new development underway. You will work closely with Chris Calabro to ensure efficient business operations across all properties and foster a culture of continuous improvement. Your role will involve property management, accounting tasks, customer service, and leading office operations in the owner’s absence.

Responsibilities

  • Oversee daily office operations and ensure compliance with company policies and procedures.
  • Perform light accounting duties such as AR/AP, creating quarterly profit/loss statements, and ensure all accounts are reconciled accurately while maintaining organized financial records.
  • Coordinate listing details, including descriptions, photography, floor plans, and promotional visibility.
  • Coordinate repairs and maintenance, ensuring properties are well-maintained.
  • Interact with tenants, address complaints and concerns, and promote positive tenant relations.
  • Oversee, prepare, and manage leases, track lease dates, manage renewals, and maintain tenant communications for requests, concerns, and complaints.
  • Prepare work orders, schedule maintenance, coordinate tenant move-in/move-out inspections, and maintain tenant, contractor, and property files.
  • Collaborate with sales and marketing teams to optimize initiatives and drive revenue growth.
  • Perform inventory management and order supplies and equipment as needed.
  • Assist with HR activities such as benefits administration, payroll, recruitment, onboarding, and staff training.
  • Identify opportunities for process improvement and implement best practices to streamline operations.

Qualifications

  • High school diploma.
  • Two to four years of office management/administrative experience; real estate experience is a plus.
  • Strong data entry skills with a keen eye for detail.
  • Excellent organizational skills to manage multiple tasks simultaneously.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), QuickBooks; experience with property management software is a plus.
  • Strong written and verbal communication skills.
