High Visions Real Estate is seeking a proactive and organized Leads Manager / Follow-Up Specialist to manage and nurture incoming leads within our CRM. This role is essential to the success of our acquisitions team, as it ensures no lead goes untouched and every potential seller is guided through our sales pipeline.
The ideal candidate will be responsible for following up with Cold, Warm, and Hot leads via phone, text, and email, maintaining consistent communication, and re-engaging prospects who have gone cold. You will play a critical role in scheduling appointments for our acquisitions reps, qualifying leads based on seller motivation and timeline, and updating lead statuses accordingly.
This is a fast-paced position suited for someone with excellent communication skills, strong attention to detail, and a passion for turning conversations into conversions.
Responsibilities
Manage and Organize Leads in CRM (e.g., RESIMPLI):
• Maintain accurate records of all seller interactions, lead stages, notes, and appointments to ensure consistent and effective follow-up.
Follow Up with Cold, Warm, and Hot Leads:
• Execute tailored follow-up sequences based on lead temperature-daily for hot leads, weekly for warm, and bi-weekly for cold.
Qualify Incoming Leads:
• Ask key discovery questions to determine seller motivation, property condition, timeline, and pricing expectations.
Re-Engage Dead or Unresponsive Leads:
• Use outbound calls, texts, and emails to revive older leads that may still have selling potential.
Schedule Appointments for the Acquisitions Team:
• Coordinate calendars and book qualified appointments for the sales reps to close deals.
Identify and Disqualify Unqualified Leads:
• Assess whether leads are a good fit for the business model, and accurately mark "dead leads" when prospects are no longer viable.
Communicate and Collaborate with Sales Team:
• Relay key lead information, updates, and opportunities to the acquisitions team for smooth hand-offs and successful closings.
Qualifications
Proven Experience in Real Estate or Sales Support Roles:
• Prior experience with real estate, inside sales, or CRM-based follow-up systems is strongly preferred.
Excellent Verbal and Written Communication Skills:
• Must be comfortable speaking with property owners, handling objections, and writing clear follow-up messages.
Strong Organizational and Time Management Skills:
• Ability to manage multiple lead pipelines and follow-up schedules without missing deadlines or opportunities.
CRM Proficiency (Preferably RESIMPLI or Similar):
• Familiarity with CRM tools to log activity, update lead statuses, and manage outreach campaigns.
Persistent and Self-Motivated:
• Demonstrates a consistent follow-up mindset, with the ability to stay proactive even when leads go cold.
Basic Knowledge of Real Estate Terminology and Sales Process:
• Understanding of terms like ARV, cash offer, seller financing, and motivation levels is a plus.
