Position Quotes Coordinator
JOB SUMMARY
This Quotes Coordinator supports the Quotes department in processing customer requests for quotation (RFQs) efficiently and accurately. This role requires strong analytical thinking, administrative precision, and professional communication with internal departments and external clients.
This position requires the use of information that is subject to International Traffic in Arms Regulations (ITAR) and /or the Export Administration Regulations (EAR).
DUTIES/RESPONSIBILITIES:
- RFQ Coordination: Monitor customer RFQs, review incoming quote packages for completeness, and follow up internally and externally to secure missing documentation.
- Document Management: Maintain, organize, and file technical documentation packages, including Bills of Materials (BOMs), assembly drawings, and specifications.
- Data Manipulation & Entry: Convert customer BOMs into standardized Excel formats. Input completed labor and cost analysis data into the ERP system to generate final quotes.
- Internal & External Communication: Act as a primary point of contact for customer quote inquiries while facilitating smooth information flow between sales, engineering, and operations.
- Reporting: Generate, update, and maintain regular status reports and quote files.

POSITION REQUIREMENTS
EDUCATION/EXPERIENCE REQUIRED:
- Education & Experience: Associate degree in Business (or equivalent practical experience) preferred. Experience reading or reviewing contracts and proposals is a plus.
- Technical Skills: Intermediate proficiency in Microsoft Office (specifically Excel and Word); familiarity with ERP systems; strong digital literacy with file conversion across standard formats (PDF, Excel, Word).
- Core Competencies: High attention to detail, proactive problem-solving skills, and the ability to work independently in a fast-paced, deadline-driven environment.
- Flexibility: Willingness to work overtime as needed to meet customer deadlines.
SPECIAL TRAINING/SKILLS REQUIRED:
- Communication & Professionalism: Professional demeanor with exceptional written and verbal communication skills across all organizational levels and external clients.
- Organization & Detail Orientation: Highly organized with extreme attention to detail and accuracy in data entry and record-keeping.

COMPUTER EXPERIENCE REQUIRED:
- Microsoft Office Suite: Intermediate to advanced proficiency in Excel (data manipulation, standard formulas) and Word.
- ERP Systems: Experience with or functional understanding of ERP software.
- File Management & Conversion: Comfortable utilizing software to convert, manipulate, and standardize technical file formats (e.g., PDF, Word, Excel).
- Technical Aptitude: Strong digital literacy with a quick ability to learn and adapt to proprietary internal systems and software.
